About the role

Atria Books is seeking an organized, detail-oriented, and enthusiastic Publishing Assistant to provide administrative and publishing support to the Publisher’s Office. Our team is a dynamic, diverse, creative group committed to our authors and to publishing their books for maximum impact. Atria publishes a range of bestselling and award-winning fiction and nonfiction from authors including Colleen Hoover, Allen Levi, Brad Thor, Hannah Grace, Janet Evanovich, Vince Flynn, Zakiya Dalila Harris, Fredrik Backman, Lisa Jewell, Charlamagne Tha God, Taylor Jenkins Reid, Reyna Grande, Rebecca Serle, William Kent Krueger, and many more.

Responsibilities

  • Provide day-to-day administrative support, including calendar management, meeting coordination, expense reporting, and preparation of correspondence and materials.
  • Create agendas, take notes, and track action items for departmental and cross-functional meetings.
  • Assist with the preparation and coordination of materials for seasonal launch meetings, sales conferences, acquisitions meetings, and other publishing presentations.
  • Maintain publishing schedules, title grids, bestseller reports, preorder updates, and other departmental tracking documents.
  • Compile and distribute weekly and seasonal reports, including bestseller lists, sales information, competitive title research, and marketplace updates.
  • Coordinate with editorial, marketing, publicity, sales, production, managing editorial, and subsidiary rights teams to support priority titles and publishing initiatives.
  • Help track departmental budgets, process invoices, and maintain accurate financial records.
  • Conduct research related to authors, comparable titles, market trends, and potential publishing opportunities.
  • Respond to general inquiries and serve as a professional point of contact for authors, agents, and internal partners.
  • Provide additional administrative and project support as assigned.

Qualifications

  • Prior internship or administrative experience; publishing, media, or related experience is preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and follow projects through to completion.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and the ability to collaborate effectively across departments.
  • Sound judgment and discretion when handling confidential information.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • An interest in commercial publishing and enthusiasm for Atria’s broad and diverse list of fiction and nonfiction.
  • A proactive, resourceful, and flexible approach to work.
