This role reports to the two Associate Directors of Publicity for Minotaur Books within the St. Martin’s Publishing Group publicity department. The position provides support for publicizing a variety of books and authors, with a focus on crime fiction and similar genre fiction titles, and offers opportunities to eventually handle independent publicity campaigns.
Responsibilities
- Provide administrative support for both Associate Directors of Publicity at Minotaur Books as well as the department as a whole
- Manage the department's publication tracking spreadsheet, documenting upcoming book release dates, publicity mailings, trade submissions, and critical media milestones
- Coordinate media mailings of galleys and finished books
- Assist in writing and distributing compelling press materials and creative pitch letters
- Route publicity materials for approval
- Assist with author book tours, including booking travel and maintaining schedules
- Support outreach to targeted media
- Monitor book coverage in key media outlets, respond to and fulfill book requests from media, and track bestseller information
- Research media outlets and event venues and update publicity and tour information databases
- Organize and submit entries for book awards
- Submit documents to the Accounts Payable department for author and vendor reimbursements
- Provide necessary information and documentation for corporate card payments
Requirements
- Exceptional organizational skills and attention to detail
- Ability to prioritize multiple tasks from two managers with competing deadlines
- Ability to work independently and remotely
- Excellent written and verbal communication skills
- Strong work ethic, curiosity, and a proactive approach to projects
- Creative problem-solving skills
- Proficiency with Google Workspace, Microsoft Word, and Excel, and the ability to learn and manage new systems
- Hybrid work model requiring regular presence at the downtown Manhattan office
- Bachelor’s Degree or relevant work experience
Qualifications
- Some previous experience in an office environment is beneficial
- Internship at a publishing house, in event planning, or in a public relations capacity is a plus
- Ability to attend author events in the NY/NJ/CT area is desirable
- Internship at a publishing house, literary agency, or public relations organization, or experience in book retail is desirable
