Psych Admissions Coordinator, per diem

This is a per diem, as-needed position requiring at least 4 eight-hour shifts per month, with 2 shifts on weekends.

Responsibilities

  • Provides Partners-wide bed/service search following established triage procedure (25% of role):
    • Gathers clinical and financial information to make referrals to participating Partners facilities or outside facilities based on clinical needs and managed care contracts.
    • Provides after-hours psychiatric triage for Newton-Wellesley Hospital inpatient adult and geriatric facilities.
    • Acts as a resource for Partners-wide facilities regarding services and bed availability.
    • Provides psychiatric triage for Franciscan’s Children’s Hospital inpatient and Adolescent Residential Treatment Program (ART).
    • Answers MGH/McLean Tufts line and provides triage or direction to other services as needed.
    • Handles public relations inquiries regarding services at McLean, its affiliates, and other Partners psychiatric facilities.
    • Maintains bed board for Partners facilities to track bed availability.
  • Interviews patients, family members, or referring professionals to obtain clinical and demographic data for evaluation or admission:
    • Gathers comprehensive and accurate information relevant to evaluation/admission needs.
    • Triages urgent/emergent calls to appropriate levels of care, including referrals to emergency rooms, crisis teams, or local police when necessary.
    • Responds promptly to preadmission inquiries.
    • Interacts courteously and professionally with patients, families, or referring professionals.
    • Reviews medically or psychiatrically complicated cases with Clinical Nursing Supervisor, Doctor on Call, or department manager.
  • Continually reassesses census and bed availability:
    • Assigns patients to appropriate units based on census, clinical presentation, and contract requirements.
    • Obtains census data (admissions, anticipated discharges) at least three times per 24-hour period from McLean affiliates.
    • Presents units with preadmission clinical information and expected arrival times.
  • Completes financial screening according to established procedures:
    • Verifies insurance coverage via computer or telephone.
    • Interprets insurance data to determine special procedures, co-payments, or deposits.
    • Educates residents and clinical evaluators on insurance and precertification requirements.
    • Completes eligibility determination and pre-registration for major contracts, ensuring precertifications are complete.
    • Reviews financial information with Patient Accounts Department or Director of Intake for approval when necessary.
    • Communicates financial information to family members or referring agents.
  • Enters patient information and ADT transactions into the IDX system accurately and completely:
    • Enters accurate demographic, referral, and Financial Status Classification (FSC) information.
    • Enters accurate Visit Level and ADT transactions in a timely manner for hospital census tracking.
    • Creates embossed cards and updates the system to reflect latest census worksheets.
  • Completes admitting paperwork:
    • Gathers information from patients/families to complete demographic and insurance sections of the medical record.
    • Obtains signatures for Assignment of Benefits forms and necessary releases of information.
    • Collects deposits from patients or guarantors.
    • Completes and sends PCP notification forms, admission notifications, and other required paperwork.
  • Interacts professionally with departmental and hospital staff:
    • Communicates effectively and positively with coworkers and hospital staff.
    • Triages outside calls to appropriate personnel as a customer service.
  • Maintains confidentiality and contributes to departmental operations:
    • Maintains confidentiality of departmental information according to established procedures.
    • Releases confidential information only in accordance with policy or approval from the Department Head.
    • Ensures security of departmental files at the end of each workday.
    • Submits suggestions for improving operations and efficiency.
    • Notifies supervisor or coworkers of availability for additional duties.
    • Performs other duties as assigned.

Requirements

  • Bachelor’s degree (B.A./B.S.) or equivalent.
  • One year of experience in a mental health care setting.
  • Demonstrated strong interviewing and organizational skills.
  • Beginning knowledge of psychiatric diagnosis and treatment.
  • Proficiency in data entry and keyboarding.
  • Excellent communication skills via telephone and in person.

Working Conditions

  • Works in a busy office setting, occasionally exposed to psychiatrically disturbed patients who may be potentially violent.
  • May be required to work a rotating schedule.
  • Prolonged sitting with freedom of movement; potential eyestrain from CRT use.
  • Work with emotionally disturbed individuals may cause job-related stress.

Pay

$25.52 - $31.89/hour.

Schedule

  • Per diem (as-needed) position.
  • Minimum of 4 eight-hour shifts per month, with 2 shifts on weekends.
  • Rotating shifts.

Location

115 Mill Street (onsite).
