About the role
Fehr & Peers is seeking a Proposal Coordinator to join our team of professionals passionate about improving communities and contributing to driving innovation in the transportation consulting industry. In this role, you'll work closely with project managers, principals, and other marketing and business services professionals. Your primary responsibility will be crafting high-quality proposals that address client needs. Through close collaboration, you’ll make sure our proposals are polished and stand out to help us win competitive pursuits.
Responsibilities
- Contribute to the coordination of marketing efforts from pre-RFP release to time of submittal (i.e., proposals, interview preparation, pre-bids, resume updates, qualification development, and weekly meetings about business pursuits)
- Collaborate with project managers, senior management, and other business services staff to plan, coordinate, and produce qualifications, proposals, and presentations, and meet relevant deadlines
- Take ownership of the proposal process and commit to ensuring proposals comply with the applicable RFP/RFQ submission instructions and requirements
- Coordinate the receipt of necessary information from internal colleagues and external teaming partners to include in proposal and presentation materials
- Review and draft content (writing, editing, proofreading) for qualifications, proposals, and presentations
- Provide support with researching, monitoring, and tracking potential project opportunities and strategic pursuits, helping maintain visibility into upcoming RFPs, RFQs, and other procurement opportunities
- Use our company’s brand style guide and design resources to create attractive and effective graphics and documents for marketing pursuits that compete well with others
- Update and maintain databases of project opportunities, project descriptions, resumes, references, and qualifications materials
Qualifications
- 3+ years of proposal coordination experience
- The ideal candidate will have a minimum of 2 years working with Washington State public sector clients, agencies, and procurement processes
- Experience in Adobe Creative Suite (Illustrator, InDesign, Photoshop) strongly preferred, but not required
- Enjoys the pace and challenge of managing multiple deadlines and concurrent pursuits, bringing organization, adaptability, and attention to detail to every assignment
- Effective writing, editing, grammar, and verbal communication skills
- Proficiency in Microsoft Office software (Word, Excel, PowerPoint) and Adobe Acrobat
- Strong work ethic and commitment to excellence
- Motivated to learn and develop skills in graphic design and writing
- Willingness to learn and apply AI-assisted tools
