Responsibilities
- Cook up service agreements, project documentation, and construction-related contracts while keeping tabs on key dates and renewal timelines.
- Support property operations by helping with tenant improvement administration, occupancy changes, capital work, and documentation tied to site activity and inspections.
- Handle tenant concerns, arrange vendor services, and ensure issues are resolved promptly and thoroughly.
- Check vendor invoices for accuracy and coding, assist with tenant chargebacks, and help with accounts payable research and follow-ups.
- Manage utility account administration and benchmarking efforts related to tenant activity, acquisitions, dispositions, and property reporting needs.
- Maintain organized property, construction, tenant, and vendor records, including insurance compliance documentation, bids, approvals, and release forms.
- Enter and track work order activity, manage office supply inventory, and keep departmental files updated and tidy.
- Collaborate with leasing and asset management teams to support new and renewed leases, including tenant onboarding materials and utility coordination.
- Assist property leadership with portfolio initiatives, emergency preparedness planning, acquisition-related administrative tasks, and other special projects as needed.
Requirements
- A minimum of 3 years of experience in commercial real estate, property coordination, or a closely related property administration role.
- Strong proficiency in Microsoft Excel, Word, and Outlook, with the ability to manage reports, correspondence, and administrative records efficiently.
- Demonstrated ability to work with contracts, invoices, budgets, and operational documentation with a high degree of accuracy.
- Excellent written and verbal communication skills, with the ability to build productive relationships with tenants, vendors, and internal teams.
- Solid organizational and time-management skills, including the ability to handle multiple assignments and shifting priorities.
- Experience with Yardi or similar property management software is preferred.
- A bachelor’s degree or equivalent practical experience is preferred.
- The ability to work primarily in an office setting and occasionally lift or move items up to 10 pounds.

Pay
$65,000-$75,000 + bonus
