About the role
We are seeking a Property Administrator to join Domain's centralized operations hub. This is a newly designed role that consolidates the administrative and financial functions previously held by on-site Assistant Property Managers, allowing on-site teams to focus on resident relationships, physical asset oversight, and community experience. The Property Administrator owns the full administrative lifecycle for both residential and retail tenants across multiple properties: collections and delinquency management, renewals, move-in and move-out coordination, ledger accuracy, retail tenant administration, and AI-assisted resident communications. This role is the operational backbone of the centralized model.
The ideal candidate is a self-starter with deep Yardi experience, strong financial acumen, attention to detail, and the organizational bandwidth to manage high-volume workflows across a multi-site, mixed-income portfolio and active retail tenants.
Responsibilities
- Own resident ledger accuracy in Yardi Voyager across multiple communities: lease charges, subsidies, third-party payments, and discrepancy resolution.
- Drive collections and delinquency management — outreach, payment plans, legal notice coordination, and management of our AI collections agent.
- Lead renewal processing from offer preparation through execution, coordinating with on-site Property Managers on rent decisions.
- Coordinate move-in and move-out administration end-to-end — checklists, COIs, deposit reconciliation, SODA, and 14-day ledger close.
- Administer retail tenants: lease abstracts, CAM reconciliations, critical date tracking, percentage rent monitoring, and billing accuracy.
- Manage and audit EliseCRM AI agent content to ensure every automated resident communication is accurate, compliant, and on-brand.
- Deliver weekly delinquency and renewal reporting to the Director of Property Management.
Requirements
- 3+ years of property management experience with direct ownership of collections, renewals, ledger, or lease administration.
- Retail or commercial lease administration experience including CAM reconciliations and tenant billing.
- Yardi Voyager proficiency across residential and commercial modules.
- Experience with AI-enabled property management platforms (EliseCRM or similar) strongly preferred.
- LIHTC or other affordable housing regulatory experience is a plus.
- Exceptional organizational skills — you can manage high-volume workflows across multiple properties without missing a beat.
- Strong written communication and sound judgment about when to execute and when to escalate.
- Bachelor's degree preferred.
