Your Work will include

  • Provide day-to-day administrative support to the Commercial Property Management group.
  • Prepare, organize, review, and maintain tenant and department documentation.
  • Prepare and accurately file tenant notices and other property-related correspondence.
  • Code and process vendor invoices and assist with payment administration.
  • Prepare, process, and maintain purchase orders.
  • Administer and maintain contracts for vendors, subcontractors, and other property management partners.
  • Communicate with contractors and vendors regarding maintenance needs, scheduling, and insurance requirements.
  • Assist tenants and internal associates with invoice and payment-related questions.
  • Answer department phone lines and respond professionally to tenants, vendors, and the public.
  • Provide additional administrative support to Commercial Property Managers and assist with departmental projects as needed.
  • Tracking and follow-up through completion for all assignments.
  • Follow established safety procedures.
  • Occasional after-hours availability may be required to support property needs.

Skills for Success

  • 3–4+ years of administrative experience preferred, ideally within an office or commercial property management environment.
  • Strong organizational skills with the ability to manage multiple priorities and requests simultaneously.
  • Excellent attention to detail and accuracy, particularly when working with invoices, purchase orders, contracts, and property documentation.
  • Strong communication and customer service skills.
  • Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Ability to learn and work with systems such as Bottomline, JDE, MRI, and other property management or accounting software.
  • A valid driver’s license and reliable transportation may be required for occasional travel to Company properties.
