Key Responsibilities
- Cook up scheduling and deployment of service technicians across multiple projects and global locations
- Closely collaborate with the Travel team to align on technician schedules and ensure timely, accurate travel arrangements
- Work with the Procurement team to track and expedite parts, equipment, and materials needed for field work
- Maintain an organized eye on parts and resources, ensuring they are delivered where they need to be—on time and ready for execution
- Act as the central communication hub across internal teams, field staff, and external partners
- Capture action items, track ownership, and follow through to ensure deadlines and commitments are met
- Track project timelines, identify potential delays, and proactively adjust plans to keep work on schedule
- Escalate issues quickly and drive resolution by coordinating across the right teams
- Maintain organized schedules, trackers, and project documentation
Team & Leadership Support
- Support the Vice President and team with coordination, planning, and follow-up on key priorities
- Prepare updates, track progress, and help ensure alignment across ongoing initiatives
- Coordinate meetings, communications, and internal team logistics
- Handle sensitive information with professionalism and discretion
Qualifications
- 5+ years of experience in operations, logistics, project coordination, or service-based environments
- Proven ability to manage multiple moving pieces in a fast-paced, deadline-driven setting
- Strong communicator who can confidently coordinate across teams, including travel, procurement, and field staff
- Experience managing schedules, resource coordination, and operational workflows
- Highly organized with strong attention to detail and follow-through
- Proficiency in Microsoft Office (Excel, Outlook, Teams); experience with scheduling or tracking tools is a plus
- Proactive, dependable, and comfortable taking ownership of outcomes
