About the role
This role serves as the operational backbone of the Global Brand video & photography production team. The position collaborates closely with the Director of Production to design, implement, and continuously improve systems and tools that enable high-quality production at scale.
Responsibilities
- Serve as the operational backbone of the Global Brand video & photography production team—designing, implementing, and continuously improving the systems process and tools that enable world-class production at scale.
- Own production operations strategy and lifecycle management—from project intake through final reconciliation—ensuring operational excellence across all simultaneous workstreams.
- Partner with Producers to ensure centralized budget management across all production projects, including job costs, committed spend, invoiced amounts, and remaining budgets; partner with Finance and Procurement to resolve discrepancies and prevent payment delays.
- Design and implement scalable production processes, templates, documentation, and governance that improve efficiency, consistency, and compliance.
- Facilitate vendor onboarding and administration in ServiceNow systems ensuring proper documentation and registration to prevent production delays for Producers.
- Maintain centralized tracking of music rights, licensing, stock footage agreements, and usage compliance across all media and markets, driving Producer adoption of centralized tracking process and tool.
- Lead prioritization and resource allocation decisions, balancing creative excellence with operational efficiency and budget constraints.
- Partner cross-functionally with Producers, Creative Directors, Finance, Procurement, Legal, and external production partners to drive continuous improvement and alignment to an efficient, accountable, and scalable production operation.
Qualifications
- 7-10 years project management or operations experience, ideally in video production operations, integrated content production, or creative operations within technology, media, entertainment, or agency environments.
- Proven expertise managing production financial operations including budgeting, forecasting, procurement, invoice management, reconciliation, vendor administration, and contract negotiation.
- Experience partnering with executive leadership and cross-functional stakeholders across finance, procurement, creative, and operations teams.
- Strong operational foundation in production governance, resource planning, and ability to manage high-volume intake across multiple competing priorities while maintaining meticulous attention to detail.
- Advanced proficiency with project management and operational tools (experience with AirTable, Asana, Monday.com, or similar platforms required).
- Exceptional analytical, communication, and leadership skills with the ability to balance operational rigor with creative flexibility and adaptability when timelines shift or scopes change.
- Strategic and systems-thinking mindset—ability to see how operations support broader business objectives and identify financial, legal, or operational risks before they escalate.
- A collaborative spirit with genuine enthusiasm for solving operational puzzles and improving how teams work together.
