About the Role

This role will be fully dedicated to the legal-mail processing function and will play a critical role in identifying, routing, tracking, and processing sensitive legal documents. The individual will conduct daily searches within the digitized mail system to identify legal mail—including liens, levies, garnishments, and court-ordered holds—and ensure each item is moved into the appropriate action queue and processed or routed according to established procedures.

The ideal candidate will have strong payments or settlement-operations experience, along with hands-on experience with liens, levies, garnishments, or other legal orders. This is a detail-oriented role requiring strong operational judgment, organization, follow-through, and the ability to manage sensitive information accurately.

Responsibilities

  • Perform daily keyword searches within the digitized mail system to identify incoming legal mail.
  • Identify, review, and classify legal documents, including:
    • Liens
    • Levies
    • Garnishments
    • Court-ordered holds
    • Other applicable legal or regulatory correspondence
  • Move identified legal mail into the appropriate action queue for processing.
  • Process, route, or escalate legal mail in accordance with documented procedures and operational requirements.
  • Ensure legal documents are accurately tracked from identification through completion.
  • Maintain detailed tracking and status information using Excel or G Sheets.
  • Monitor open items and follow up on outstanding actions to support timely resolution.
  • Provide regular status updates, metrics, and issue escalations to leadership and relevant stakeholders.
  • Maintain a high level of accuracy when handling sensitive financial and legal information.
  • Help organize, document, and standardize the developing legal-mail workflow.
  • Identify opportunities to improve the efficiency, controls, and effectiveness of the legal-mail process.
  • Assist with developing and maintaining procedures, process documentation, and operational controls.
  • Partner with payment, settlement, operations, legal, and other internal stakeholders as appropriate.
  • Support the broader organization as needed, particularly where legal-mail activities intersect with high-risk payment and settlement processes.

Requirements

  • Bachelor's degree
  • 5-10+ years of experience in Program Management, Process Management, Project Management, or a related operational discipline.
  • Banking, payments, financial-services, or settlement-operations experience is required.
  • Demonstrated experience working with liens, levies, garnishments, court orders, or similar legal/payment-related processes is highly important.
  • Strong understanding of payment or settlement operations and related operational controls.
  • Exceptional attention to detail and a high degree of accuracy.
  • Experience managing operational workflows, procedures, documentation, and tracking.
  • Strong written and verbal communication skills.
  • Ability to work independently and manage daily responsibilities without constant supervision.
  • Ability to proactively identify issues, communicate status, and escalate concerns appropriately.
  • Strong Excel or G Sheets skills.
  • Ability to follow detailed procedures consistently while handling sensitive information.
  • Strong organizational, analytical, and process-management skills.
  • Ability to manage multiple priorities while maintaining accuracy and meeting deadlines.

Preferred Qualifications

  • Direct experience processing liens, levies, garnishments, or court-ordered holds.
  • Strong background in payments, settlement operations, or payment processing.
  • Experience within a banking, card, fintech, or other financial-services environment.
  • Experience supporting high-risk, manual operational processes.
  • Legal operations, legal-document processing, or regulatory operations experience.
  • Experience with operational risk, controls, reconciliations, or exception management.
  • Experience developing or improving operational procedures and workflows.
  • Experience documenting processes in a developing or evolving operational environment.
  • Demonstrated ability to identify process gaps and recommend practical improvements.

Pay

$50 - $55/hr

Schedule

9-month duration with possible extension
