About the Role
The Project Coordinator, Marketing brings a positive, engaging presence and enjoys working cross-functionally to support teams, build connections, and contribute to a strong company culture. They support the execution of key initiatives across product commercialization, brand communications, and corporate communications by coordinating project plans, timelines, stakeholder communications, and deliverables to keep projects organized, aligned, and on track.
Key Responsibilities
- Serving as a central point of coordination across Brand Marketing, Innovation, Regulatory, Quality, Operations, Creative, and external agency partners, facilitating communication, tracking progress, and helping identify and escalate risks that may impact timelines, resources, or project objectives.
- Working closely with functional teams and leadership to support multiple concurrent workstreams, including label development, innovation launches, internal communications, and employee engagement initiatives.
- Contributing to continuous process improvement by identifying opportunities to enhance efficiency, strengthen collaboration, and improve visibility across teams.
- Leveraging AI-powered tools and emerging capabilities to enhance project execution, communication, collaboration, and overall team effectiveness.
Artwork Development & Commercialization Coordination (40%)
- Own the label development lifecycle, including brief collaboration, project initiation, routing, review, approval, and final delivery.
- Lead cross-functional workflow coordination across Regulatory, Quality, Innovation, Operations, Brand Marketing, and external design partners.
- Support execution of project timelines, monitor critical milestones, identify risks, and drive resolution of issues that may impact launch timing.
- Facilitate stakeholder alignment and decision-making during label development and review cycles.
- Partner with stakeholders to make sure all artwork updates meet business objectives, regulatory requirements, and production timelines.
- Support and improve processes that increase efficiency, visibility, and accountability throughout the label development workflow.
- Maintain project documentation, approval histories, and artwork archives.

Corporate Communications & Employee Experience (40%)
- Help champion a consistent SmartyPants experience by ensuring internal communications, employee events, and corporate materials align with our brand voice, culture, and core values.
- Support execution of project planning and execution for standardized corporate communication materials and company-wide messaging.
- Lead planning and execution of two large-scale annual employee events, including Half-Time and Year-End celebrations.
- Own planning and coordination of monthly Rally Meetings, including agenda development, communications, logistics, and stakeholder management.
- Support planning and execution of Brand Marketing activations as needed.
- Continuously improve communication and event management processes to enhance employee experience and operational efficiency.

Brand Communications Commercialization Support (20%)
- Manage and coordinate the transition of projects from Brand Innovation teams to Brand Communications teams, ensuring seamless project handoffs and clear accountability across functions.
- Execute integrated go-to-market timelines for innovation launches, ensuring deliverables remain on track and stakeholders remain aligned.
- Provide regular project status updates, timeline management, and stakeholder communication.
- Develop and continuously improve project management tools, workflows, and launch processes to support scalable growth.

Qualifications
- 3-5 years of experience in project management, marketing operations, commercialization, communications, or related fields.
- Brings a positive, engaging presence and enjoys working cross-functionally to support teams, build connections, and contribute to a strong company culture.
- Naturally curious and forward-thinking, with a track record of identifying smarter ways of working and proactively leveraging AI and emerging technologies to improve processes, accelerate execution, and enhance team effectiveness.
- Demonstrated experience managing complex cross-functional projects with multiple stakeholders and competing priorities.
- Proven ability to influence and drive accountability.
- Strong planning, prioritization, and organizational skills with exceptional attention to detail.
- Ability to identify risks early and proactively develop mitigation plans.
- Experience developing and improving business processes and workflows.
- Excellent verbal and written communication skills.
- Ability to thrive in a fast-paced environment with shifting priorities and tight deadlines.
- Proficiency with project management tools, Microsoft Office, and collaboration platforms.

Pay & Benefits
- Pay range: $68,000-80,000 (compensation determined based on geographic location and experience)
