About the role

The Project Coordinator supports senior leadership in Chartwell’s Corporate Finance practice. This position blends project coordination with day-to-day administrative and office operations support, working closely with executives to ensure the smooth execution of client engagements, internal processes, and overall office functions.

Responsibilities

  • ERP database management of client, contact, and project records, including generating and distributing practice area reports.
  • Prepare client-facing materials such as introductory presentations, proposals, confidentiality agreements, engagement letters, final reports, and other deliverables.
  • Create project network folders and shared data room portals to ensure secure handling of confidential client materials.
  • Monitor project timeline progression, attend internal practice area meetings, record and publish team meeting notes, and perform action item follow-ups as needed.
  • Support practice area-specific processes and initiatives as directed.
  • Reception area management, supply inventory and ordering, delivery and office equipment coordination, visitor assistance, building management liaison.
  • Conference room scheduling, catering orders, meeting setup and cleanup, internal and external meeting coordination.
  • New hire onboarding assistance, calendar management, travel coordination, printing and binding support, and ad hoc tasks as requested.

Role Expectations

Qualifications

  • 5+ years of experience providing both administrative and project management support, preferably in a professional services, financial advisory, or investment banking setting.
  • Demonstrated experience in MS Office (Excel, Word, PowerPoint, Outlook, Teams).
  • Experience in handling sensitive/confidential information.
  • Extensive experience with ERP/CRM database management, Deltek Vantagepoint preferred.

Schedule

Monday through Friday, 8:00am - 5:00pm (in-office).
