About the role

Project Coordinator is a crucial role responsible for planning, executing, and overseeing key tasks from the initiation to the completion of a given project. This role involves assisting project managers in overseeing that project tasks are completed on time, within budget, and to the highest quality standards.

Responsibilities

  • Assist with the preparation and maintenance of project documentation which includes, but is not limited to, project plans, schedules, and status reports.
  • Track and report on project milestones and key performance indicators (KPIs).
  • Coordinate meetings, project reviews, and ensure action items are tracked and followed through.
  • Work within and support project teams, assign roles and responsibilities, and establish clear lines of communication.
  • Coordinate with project team members, fostering a collaborative and results-oriented work environment.
  • Establish and monitor quality standards, ensuring that project deliverables meet or exceed defined quality benchmarks. Ensure operations views are managed towards the best solution(s).
  • Identify and assess project risks and develop risk mitigation plans. Monitor and report on risks throughout the project's lifecycle, documenting proactive measures taken to avoid or minimize their impact.
  • Maintain open and transparent communication with project stakeholders, providing regular updates on project status, issues, and risks.
  • Prepare and distribute progress reports, ensuring that project objectives are met.
  • On-site project coordination, viewing and learning various projects by attending on site meetings.
  • Identify and assess changes to project scope, schedule, or budget. Help to implement change control procedures and ensure proper documentation and approval of changes.
  • Learn to identify project closure activities including final inspections, client acceptance, and lessons learned documentation.

Qualifications

  • Bachelor's degree in a relevant field (e.g., business, engineering, project management) is typically required.
  • Entry-level project coordination experience or internship is desirable.
  • Knowledge of project management principles, methodologies, and tools.
  • Strong organizational and leadership skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in project management software and tools.
  • Analytical and problem-solving abilities.
  • Attention to detail and a commitment to delivering high-quality results.

Physical requirements

  • General Physical Health: Good overall health to manage long hours, especially during critical project phases.
  • Stamina: Ability to work extended hours when necessary, including evenings or weekends, to meet project deadlines.
  • Mobility: Capability to move around the office or project site, which may involve walking or standing for extended periods. Occasionally lifting and carrying light to moderately heavy materials (e.g., documents, laptops).
  • Dexterity: Proficiency with computers and other office equipment, requiring good hand-eye coordination and fine motor skills.
  • Visual and Auditory Acuity: Good vision to read detailed reports and computer screens. Adequate hearing to participate in meetings and teleconferences.

Mental requirements

  • Organizational Skills: Ability to prioritize tasks and manage time efficiently. Detail-oriented to track project milestones, deadlines, and deliverables.
  • Communication Skills: Strong written and verbal communication skills for interacting with team members, stakeholders, and clients. Ability to convey complex information clearly and concisely.
  • Problem-Solving Skills: Analytical thinking to identify potential issues and develop solutions. Decision-making skills to handle project changes and unexpected challenges.
  • Leadership and Teamwork: Ability to lead and motivate a team. Collaborative mindset to work effectively with diverse teams and departments.
  • Adaptability: Flexibility to adapt to changing project requirements and environments. Capacity to manage stress and remain calm under pressure.
  • Technical Proficiency: Proficiency in project management software and Microsoft Programs, Excel, PowerPoint, etc. Familiarity with tools for scheduling, budgeting, and resource management.
  • Attention to Detail: Meticulous in tracking project progress and ensuring all elements are accounted for and ensuring compliance with project standards and protocols.
