Project Coordinator
About the role
Join a large, well-established materials science and specialty glass manufacturer with a major production facility in Canton, NY. This site produces high purity glass and advanced optics used in semiconductor, aerospace, and defense applications, and has been undergoing significant capital investment and expansion in recent years, growing its workforce and production capacity.
Responsibilities
- Track and update project spend, budgets, and capital and expense data in company systems, coordinating with Finance on charge numbers and reporting
- Prepare and distribute monthly spend, labor, and performance reports for engineering projects
- Maintain engineering and plant level metrics and support routine departmental reporting
- Support experimental parts tracking and assist engineers with quoting activities
- Coverage purchasing requests, receipts, and documentation for contractor related materials
- Organize and run recurring engineering and plant meetings, including preparing agendas, consolidating materials, capturing notes, and tracking follow up items
- Schedule meetings, conference rooms, and vendor or visitor visits, and maintain shared calendars and distribution lists
- Coverage onboarding for new employees, contractors, and interns, including access requests and system setup
- Manage shared inboxes, Teams channels, SharePoint sites, and shared folders with consistent naming and version control
- Manage SOPs, templates, and controlled documents in line with plant documentation standards, supporting audit readiness
Requirements
High school diploma or GED
Strong proficiency with the Microsoft Office suite, including Word, Excel, PowerPoint, and Outlook
Experience coordinating schedules, calendars, and stakeholder availability across teams
Comfortable managing multiple projects, deadlines, and administrative systems at once
Must be a US citizen due to Department of Defense and ITAR compliance requirements at this facility
Qualifications
2+ years of experience supporting an engineering or manufacturing team
Experience with ERP or capital and expense tracking systems beyond SAP
Experience supporting a facility with government or defense related compliance requirements
Associate degree or coursework in business administration or a related field
Skills
- SAP experience for project spend, budget tracking, and reporting
- Microsoft Office suite at an advanced level, including Word, Excel, PowerPoint, and Outlook
Benefits
Pay Transparency: This position is located in New York State. In accordance with New York pay transparency law, the anticipated pay range for this role is $23.33 to $25.00 per hour.
Pay
$23.33/hr to $25.00/hr
Schedule
Full time, Monday through Friday, 8am to 5pm, occasional approved overtime
