Project Coordinator
About the role
The ideal candidate will support Project Managers with various administrative and coordination tasks, including preparing and maintaining project documents, managing project schedules, and communicating with clients and internal teams. They will also provide general office administrative support and assist with client relations.
Responsibilities
- Aid in preparing and tracking client proposals, contracts, submittals, and correspondence (letters, transmittals, meeting minutes).
- Maintain project schedules ensuring key milestones are met.
- Coordinate permitting tasks with internal teams, clients, and jurisdictions.
- Communicate with project teams and clients regarding deliverables, task completion, process changes, and requirements using email, phone, and in-person communication.
- Assist with general office administrative tasks, including supporting shared office operations, coordinating supplies and logistics, and providing administrative assistance to the broader team as needed.
- Build and maintain positive relationships with clients, subconsultants, and vendors.
- Provide additional administrative support as needed, such as delivering plans and proposals, and assisting with client calls when the Project Manager is unavailable.
Requirements
The ideal candidate is detail-oriented, self-motivated, and experienced in supporting projects in a fast-paced environment. Experience supporting engineers, architects, contractors, or surveyors is preferred. Familiarity with the site development process is also beneficial.
Qualifications
- Proficiency with Microsoft Office Suite and project management software (e.g., Smartsheet, Trello, or similar).
- A "Do what needs to be done" mindset, taking ownership beyond assigned tasks and stepping in wherever needed to keep projects, teams, and clients supported and running smoothly.
- Strong organizational skills and the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Self-motivated, detail-oriented, and proactive approach to work.
Skills
- Experience supporting engineers, architects, contractors, or surveyors is preferred.
- Familiarity with the site development process.
- Proficiency with Microsoft Office Suite and project management software (e.g., Smartsheet, Trello, or similar).

Pay
$50,000 - $60,000 annually
Schedule
Full-time, Monday through Friday, 8:00 AM - 5:00 PM
