About the role
The Project Coordinator will provide administrative support to the local office (CTC) and work as part of a dynamic team that supports Convergint's mission to be the customer's best service provider.
Responsibilities
- Aid in project delivery and administration across multiple installation projects from start to finish.
- Collaborate with Project Managers to ensure projects meet client expectations and are completed on time and within budget.
- Administer project setup in financial systems and project management applications.
- Maintain and distribute project details according to company and client requirements.
- Follow up daily on project tasks and issue logs.
- Document actions in project management applications.
- Update project status with clients regularly.
- Research, compile, process, and coordinate project data including data entry, report generation, and metrics collection.
- Monitor budgets, actual costs, and commitments using the financial system.
- Coordinate with various business areas such as Sales, Service, and Safety regarding project activities.
- Organize and maintain electronic and hard copy filing systems in compliance with Convergint's record retention policies.
- Prepare Purchase Orders for project materials and coordinate orders with the purchasing department.
- Track material orders, delivery dates, and reconcile project materials in the warehouse.
- Prepare project invoices and collaborate with the Project Managers and Accounts Receivable team for invoice analysis and tracking.
- Assist with project closeout documentation and project turnover to the Service team for warranty and post-installation support.
Requirements

- Excellent verbal, written, and interpersonal communication skills.
- Strong attention to detail.
- Service skills and awareness for customer care/satisfaction.
- Strong computer skills - Word / Excel.
- Excellent organizational skills and ability to manage multiple projects simultaneously within tight deadlines.
- Shows initiative and engages in proactive behavior.
- Strong analytical and financial analytical skills including cost control.
- Strong ability to facilitate a collaborative working environment.

Qualifications
- Education: High School/GED or equivalent.
- Preferred Experience: 1-3 years administrative support, office management, or equivalent.
