About the role
Built by BuildingWorks, a company founded in 1999, we specialize in streamlining construction closeout documentation. Our goal is to reduce timelines from 4-6 months to 30-60 days. We achieve this by delivering organized, searchable documentation that facility teams can use, not just store. Our DataSphere platform ensures that facility teams have access to the information they need.
Responsibilities
- Document Collection and Management: Collect closeout documentation from general contractors and subcontractors throughout construction. Track submission status, follow up on outstanding items, and ensure all required documents are received.
- Organization and Verification: Organize documentation in our DataSphere platform by system, room, manufacturer, and drawing number. Verify that submitted documentation matches contract requirements and installed equipment.
- Quality Assurance and Audit: Audit documentation packages for completeness and accuracy before delivery. Validate that the HVAC manual matches the installed equipment serial numbers, the electrical panel schedules reflect as-built conditions, and all required warranties are documented with proper start dates and coverage periods.
- Client Coordination: Work directly with project managers, project engineers, and subcontractors to collect documentation. Provide status updates to general contractors and participate in closeout coordination meetings. Train building owners and facility managers on DataSphere navigation and features upon project delivery.
- Project Management: Manage multiple projects simultaneously at different stages of completion. Track progress against milestone schedules and flag issues before they become problems.
Requirements
- 2+ years working with construction documentation, project management, or facilities management
- Familiarity with construction closeout processes and typical documentation requirements
- Experience reading and interpreting construction drawings and specifications
- Proficiency with document management systems and cloud-based platforms
- Strong organizational skills with the ability to track hundreds of documents across multiple projects
- 25% travel for in-state or out-of-state projects
Preferred Experience
- Background as a project engineer, project coordinator, or assistant project manager with a general contractor
- Experience in facilities management or building operations
- Knowledge of MEP systems (mechanical, electrical, plumbing) and building equipment
- Familiarity with CSI specification divisions and submittal processes
- Experience with construction management software
Skills and Attributes
