About the role

Set up and maintain projects in Deltek Vantagepoint, including reviewing new contracts and advising Project Managers on the most efficient project configurations to meet client billing requirements. Maintain projects as change orders are added and close entire jobs the period after all transactions are completed.

Responsibilities

  • Consult and advise Project Managers on contract options, obtain reviews, manage document flow, and notify the Principal in Charge (PIC) of projects with contract issues.
  • Process draft invoices for review and approval by Project Managers.
  • Review and maintain billing terms to ensure client requirements are met (e.g., backup, status reports, or lien waivers).
  • Analyze budget vs. actual spending on projects and reconcile contract/approved/pending change orders vs. total billed to-date.
  • Track sub-consultants, provide the Contract Department with sub-proposals, and ensure sub-consultant contracts are issued.
  • Receive sub-consultant invoices, verify amounts billed against the budget, and create/update sub-consultant tracking forms in Excel.
  • Present invoices to Project Managers for approval, input into Vision, and send paperwork to the Corporate Accounting office for posting.
  • Prepare detailed analysis of project budgets, including spent-to-date, billed-to-date, budget remaining, WIP, and A/R.
  • Coordinate with clients and sub-consultants, determine appropriate contacts, answer questions, obtain information, and act as a liaison for billing and performance inquiries.
  • Support Accounts Receivable (A/R) and Accounts Payable (A/P) personnel by sharing information, resolving questions, and updating A/R on invoice arrangements (voids/reissues).
  • Monitor and report exceptions to firm-wide policies and procedures.
  • Manage WIP corrections, adjustments, and ensure correct rates due to changes, write-downs, zero bill rate corrections, and labor category corrections.
  • Participate in and assist with orientation for new Project Managers.
  • Ensure Project Finance Compliance by reviewing revenue methods for GAAP standards, client contract reviews, and project setup in the financial system.
  • Perform research and audit tasks related to Operational Finance as required.

Requirements

  • Bachelor’s Degree in accounting, finance, or a related discipline.
  • At least 5 years of relevant experience with a strong working knowledge of financial, accounting, audit, and business principles.

Skills

  • Excellent written and oral communication skills.
  • Proficiency in Excel, Word, and PowerPoint.
  • Experience with an architectural/engineering firm or Deltek Vision/Vantagepoint system is preferred.
