Duties
Administrative Duties (50%)
- Proficient in using various Microsoft Office Suite Programs including Word, PowerPoint, Excel, and Outlook.
- Maintain RCSNet databases and update assigned Vet Center data regularly.
- Make suggestions for improving database use.
- Qualified typist/data entry.
- Review and respond to correspondence and inquiries promptly.
- Aid in complete responses to inquiries with Vet Center staff.
- Ensure all correspondence is grammatically correct, free of errors, and formatted according to approved RCS style guidelines.
- Create, update, and maintain electronic documents for Vet Center staff and administrative folders.
- Serve as the primary timekeeper using VA Time and Attendance System.
Program Duties (25%)
- Ensure office equipment is in working order and address issues as needed.
- Establish workload priorities independently.
- Develop and maintain tracking systems for assigned programs or projects.
- Support Vet Center staff by making copies, scanning information, and faxing as requested.
- Create and maintain Vet Center brochures, pamphlets, handouts, and staff business cards.
Office Duties (25%)
- Provide a welcoming environment in the front lobby.
- Clean and stock the lobby daily, including clearing tables of trash, arranging books/magazines, straightening furniture, and stocking the refreshment/coffee area.
- Contact appropriate offices to repair or replace items as needed.
- Greet visitors, confirm appointments, and contact counselors when clients arrive.
- Determine situations requiring additional professional guidance and contact appropriate Vet Center personnel for assistance.
