Key Responsibilities

  • Support the Program Manager with administrative tasks such as scheduling meetings, creating agendas and meeting minutes, tracking partner documentation and creating coordination visuals.
  • Conduct event planning and coordination with internal and external partners.
  • Order and track physical collateral related to the grant.
  • Obtain proposals and quotes for services outside of physical collateral.
  • Manage reimbursement and cash advance requests, track partner and grant budgets, and ensure compliance in alignment with AEDC and EDA procedures.
  • Maintain organized digital and administrative systems for documentation, reporting, and invoicing.
  • Manage communication and data between AEDC and external partners, serving as a responsive, solutions-oriented liaison.
  • Cook up partner meetings and documentation across several partners and ongoing projects.
  • Prepare data summaries and visuals for coordination meetings, overall decision-making and reporting.
  • Facilitate collaboration and information flow across component projects to ensure alignment and timely updates.

Qualifications

  • Bachelor’s degree in Public Policy, Public Administration, Economics or related field; Master’s preferred.
  • Strong analytical and writing skills; ability to interpret data and communicate findings clearly.
  • 2 to 5 years of experience in workforce, community, or public-sector program management; administering program activities, budgets and tracking goals.
  • Proficiency in Microsoft Office Suite, with Excel expertise.
  • Experience with GIS, Data visualization tools (Tableau, Power BI) and statistical analysis tools preferred.
  • Excellent interpersonal skills; able to build trust and coordinate with diverse partners.
  • Highly organized, detail-oriented, and comfortable managing multiple priorities.
  • Flexible and proactive; able to work effectively with limited information and evolving tasks.
  • Bilingual (English/Spanish) preferred.
