About the role
BronxWorks helps individuals and families improve their economic and social well-being. We provide programs in various service areas such as workforce development, children, youth, families, seniors, and homeless prevention.
Responsibilities
- Pick up and deliver packages, proposals and reports.
- Errands throughout the city may be required on a moment's notice.
- Pick up and deliver client and program data into computer databases and other tracking systems.
- Gather information needed for proposals, reports and program management including inventories, staff lesson plans, incident reports, fire drills, supply list.
- Ensure that client files contain required paperwork and information: applications, physicals, permission slips.
- Update information on community resources (e.g., bulletin boards).
- Assist in the preparation of mailings.
- Provide general clerical support, including filing, faxing, word processing, typing, photocopying and sorting mail.
- Answer telephones and take messages.
- Report to, and meet with, supervisor on a weekly basis.
- Complete and sign weekly task list.
- Absent from Program Coordinator, assist in the completion program reports on a monthly basis or more frequently as required.
- Absent from Program Coordinator, assist with the planning of special projects and events as assigned.
- Serve dual role as Team Lead/Youth Worker and Organize and facilitate workshops and activities on a needed basis.
- Order program supplies with the supervisors' approval on a need basis.
- Serve as the direct liaison between Parents/Guardians, School Administration and Program Coordinator.
- Oversee line staff in the absence of Program Coordinator.
- Ensure that daily attendance sheets are provided to all Youth Workers, Instructors, Activity Specialists, Subcontractors, Guest Speakers or any facilitated activities.
- Ensure that attendance is taken for each activity on a daily basis.
- Ensure that attendance is submitted in the DYCD and BronxWorks Database (when available) in a timely fashion.
Qualifications
- A high school diploma or equivalent credentials required, an bachelor’s degree preferred.
- A minimum of one year of administrative work experience preferred.
- Proficiency in English required; proficiency in a second language preferred.
- Strong oral and written communication, time management and organizational skills are necessary.
- Proficiency in Microsoft Office suite and other standard business technology is required.
Physical Requirements
- Ability to use a computer for prolonged periods.
- Ability to occasionally lift and/or move up to 10 pounds.
- Ability to stand, walk, or sit for long periods of time.
- Ability to climb five flights of stairs, if required to conduct home visits and/or fieldwork.
- Ability to bend and retrieve objects and/or documents.
- Ability to travel in the boroughs of New York City and its adjacent counties via public transportation.
- Ability to travel for a minimum of 1 mile within a reasonable amount of time and in all types of weather, including inclement weather, if required to conduct home visits and/or field work.
