About the Opportunity

The Program and Operations Associate supports the smooth functioning of program and operational activities by providing administrative and logistical assistance. This role is critical in managing event coordination, recruitment processes, communications, and data systems, thereby enabling effective program delivery and operational efficiency within the organization.

Responsibilities

  • Manage operational systems including Salesforce, Ramp, Perk, DocuSign, Bill, and Campaign Monitor to ensure accurate data and invoice reconciliation
  • Maintain project tasks and deadlines using Asana
  • Plan and coordinate logistics for 3-4 monthly events across multiple locations, providing in-person support when required
  • Organize logistics and setup for program sessions both in-person and virtual
  • Act as liaison among regional and central teams for seamless operations
  • Facilitate timely submission of teacher stipends and reimbursements
  • Assist program leaders with budget tracking and expense management
  • Secure contracts, certificates of insurance, and oversee approved purchases
  • Coordinate submission of Act 48 hours for participants
  • Serve as contact for shared office spaces in Philadelphia and Pittsburgh
  • Support recruitment efforts by coordinating outreach, reviewing applications, managing interviews, and communicating with candidates

Requirements

  • Minimum two years of professional experience in operations, nonprofit administration, or similar administrative roles
  • Proven ability to coordinate and execute events and operational processes from start to finish
  • Highly organized with the ability to manage multiple deadlines and workflows in a fast-paced environment
  • Proficient in operational tools such as Asana, Salesforce, Campaign Monitor, Google Workspace, and financial platforms
  • Proactive and resourceful with strong problem-solving skills
  • Effective communicator capable of coordinating across teams and stakeholders
  • Comfortable with travel and hands-on logistical support for in-person events
  • Commitment to mission-driven work supporting student outcomes through program execution

Pay

Starting salary is $65,000, set through a structured compensation approach without negotiation.
