About the Role
The Associate Laboratory Directorate for Environment, Safety, Health and Quality (ALDESHQ) is looking for an experienced and highly motivated Professional Staff Assistant to provide administrative support to the ALDESHQ Program Office and ESHQ Integration Office. This position requires strong customer service skills, a high degree of professionalism, self-motivation, and accountability for deadlines and commitments. The selected candidate must be able to work cooperatively in a dynamic and diverse office environment while maintaining a positive attitude and professional work atmosphere.
In this role, you will coordinate calendars, meetings, procurements, records, personnel-related administrative activities, and other day-to-day office operations. You will track commitments and action items, prepare and format professional correspondence and presentations, maintain shared resources and records, and serve as a knowledgeable point of contact for employees and internal support organizations.

Requirements
- Demonstrated experience with complex calendar management, meeting scheduling, and meeting logistics.
- Demonstrated experience using procurement or other business systems to support organizational operations.
- Demonstrated proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams, and the ability to learn software and business systems used to support specialized organizational functions.
- Demonstrated experience maintaining electronic records, databases, shared resources, or websites.
- Excellent interpersonal, verbal, and written communication skills, including customer service.
- Demonstrated experience interacting effectively with all levels of internal and external personnel, including networking with multiple organizations.
- Strong ability to organize, prioritize, and follow through with completion of multiple tasks with strict deadlines, frequent interruptions, and changing priorities.
- Ability to thrive in a dynamic environment with frequent interruptions and changing priorities.
- Demonstrated record of dependability, availability, attendance, and punctuality.
Qualifications
Position requires a bachelor's degree and 2 years of related experience or an equivalent combination of education and experience directly related to the occupation.
Desired Skills
- Knowledge of LANL's organizational structure, administrative policies, practices, and procedures.
- Experience using Oracle, Ariba, Concur, Fieldglass, or comparable business systems.
- Experience serving as a Designated Procurement Representative or performing comparable procurement-support responsibilities.
- Experience supporting personnel-related processes, records management, SharePoint resources, or webpage maintenance.

Additional Details
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. The position commitment for this position is 1 year.
