About the role

Assist the Assistant Director of Finance in maintaining financial and accounting statements and records, ensuring compliance with university policies and procedures. Work with various levels of management to ensure the effective and efficient operation of the Facilities Department. Support financial planning, budgeting, forecasting, and performance analysis while managing and recovering outstanding debts. Reconcile accounts using the PeopleSoft Financial System and oversee budgetary performance reporting.

Responsibilities

  • Assist in developing, interpreting, and implementing financial concepts or techniques related to strategic planning, budgeting, forecasting, and financial performance.
  • Support the Assistant Director in managing and recovering outstanding debts across all departmental operations.
  • Reconcile accounts with departmental ledgers from the PeopleSoft Financial System.
  • Oversee the compilation, monitoring, analysis, and reporting of budgetary performance, including preparing monthly and quarterly reports for senior management.
  • Review the University's credit card revenue and expenses, monitoring for variances, non-related expenses, and questionable transactions regarding fiscal compliance.
  • Serve as the University's credit card approver for departmental transactions, ensuring compliance with credit card policies and handling sensitive cardholder information.
  • Prepare monthly budgetary performance reports, including budget variances for assigned funding sources.
  • Assist in establishing, monitoring, and ensuring interdepartmental charges are billed and collected, specifically related to the Maximo Work Management System, Smart Internal Billing, and journal uploads.
  • Maintain internal departmental account ledgers and subledgers, including setting up and maintaining summary sheets for each account.
  • Assist staff with invoices, requisitions, purchase orders, and other purchasing-related matters, reviewing requisitions, expense and travel authorizations, and unencumbered payment submissions.
  • Perform regular departmental audits by verifying and monitoring spending, ensuring reasonable costs and proper receipt of merchandise.
  • Review ledger reconciliations, monitor cellular phones and accessories, and review requisitions for equipment purchases.
  • Assist in developing and distributing monthly financial and budget analyses reports for decision-making and tracking purposes.
  • Follow internal computerized accounting procedures to record, classify, summarize, interpret, and report financial data for the Facilities Management department.
  • Perform essential duties during emergencies such as hurricanes, public health emergencies, or other university closures, reporting to work as needed with appropriate notification.

Requirements

  • Bachelor's degree in Accounting or a related business field, including a minimum of 6 credits in Accounting; OR
  • Four (4) years of appropriate experience, including one (1) year of accounting-related experience; OR
  • An equivalent combination of relevant education and/or experience.

Skills

  • Knowledge of Microsoft Excel.

Pay

$50,000 - $55,000 annually.

Schedule

Begin time: 8:30 AM
End time: 5:00 PM

Required to spend 50% or more of time operating a computer. Ability to work flexible hours as needed, including reporting to work during university emergencies.
