About the role

Gaia is seeking a highly organized Production Operations Coordinator to support the flow of content from production through air schedule readiness while also managing travel logistics for show guests, talent, and internal production teams.

This role is an excellent fit for someone with experience in television, media, production coordination, post-production, scheduling, or studio operations who understands the urgency of deadlines, the importance of accuracy, and the many moving parts required to get content ready for air.

Responsibilities

  • Prepare licensed and original content for publishing in alignment with Gaia’s air schedule.
  • Track title readiness across multiple programs, ensuring assets, metadata, descriptions, tags, and QC steps are completed on time.
  • Conduct media and content quality control checks to confirm publishing readiness, editorial accuracy, and consistency.
  • Write/edit clear, engaging, audience-resonant titles and descriptions that reflect Gaia’s editorial voice.
  • Apply taxonomy, strategic tagging, AI tools, and audience insights to improve discoverability, navigation, and content recommendations.
  • Collaborate with production, post-production, creative, marketing, and publishing teams to align on release timing, messaging, and viewer experience.
  • Absorb content discovery efforts by curating and featuring programs that support audience engagement goals.
  • Maintain a high level of accuracy while working within fast-moving production and publishing timelines.
  • Arrange domestic and international travel and accommodations for Gaia guests, talent, and production employees.
  • Serve as the primary point of contact for travel-related questions, itinerary changes, and real-time logistical needs.
  • Coordinate flights, hotels, transportation, and other travel details with professionalism and discretion.
  • Research, negotiate, and secure competitive rates with airlines, car rental companies, hotels, and other vendors.
  • Support smooth operational execution for guests and talent traveling to Gaia’s campus or production-related events.
  • Anticipate logistical issues and proactively resolve scheduling, travel, or coordination challenges.
  • Reconcile travel related expenses, ensuring all receipts, invoices, and booking details are accurate, complete, and properly documented.

Qualifications

  • 4-year college degree or equivalent professional experience.
  • Experience in television production, production coordination, post-production, media operations, scheduling, or a similar deadline-driven environment strongly preferred.
  • Excellent organizational skills with the ability to manage multiple air schedules, content deadlines, travel itineraries, and operational priorities at once.
  • Strong AI skills needed for writing/editing, with a solid grasp of grammar, narrative clarity, tone, and audience-focused messaging.
  • Familiarity with CMS platforms, Airtable, or similar project-tracking tools a plus.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Ability to communicate clearly and professionally with internal teams, guests, talent, vendors, and production partners.
  • Strong attention to detail and a demonstrated ability to follow SOPs while adapting to changing priorities.
  • Comfortable using AI tools to support tagging optimization, workflow efficiency, and editorial analysis.
  • Interest in or familiarity with Gaia’s subject areas, including personal growth, consciousness, truth-seeking, alternative healing, and spirituality.
  • Experience interpreting engagement metrics or using audience insights to inform content presentation is a plus.
  • Experience in Agile, studio, media, or production environments is a bonus.

Additional Requirements

  • Active Gaia membership strongly preferred.
  • U.S. citizen or resident with valid work authorization required.
  • Non-smoker.
  • Must be available to work on-site at Gaia’s Louisville, Colorado campus. This is not a remote opportunity.

Pay

Type: Salary
Range: $60000 - $70000 (USD)
