About the role
Please note: this role is for a 6-month contract term and reports on-site to our client’s office in Santa Monica, CA. This role requires a full week schedule in-person.
What You'll Do
- Juggle multiple production tasks, keeping requesters updated on progress.
- Raise any bandwidth issues to Producers and leadership.
- Work with Producers to make production processes more efficient.
- Support on-set production needs during shoots.
- Manage production and budget tracker spreadsheets.
- Schedule and coordinate meetings, tech scouts, and post-production sessions.
- Create and distribute call sheets to crew and talent.
- Maintain and update crew databases and contact info.
- Book and schedule crew for both on-site and off-site productions.
- Gather vendor quotes, submit purchase requests, and track orders.
- Use tools like Jira and Google Drive to plan and manage productions.
- Collect and organize receipts and expenses, ensuring accurate close-out of productions.
- Handle legal paperwork such as talent releases as needed.
- Assist with scouting locations and film permitting.
- Build and maintain production budgets and schedules.
- Track expenses, process invoices, and help keep projects on budget.
- Secure locations and coordinate transport/accommodations when needed.
- Hire/manage production assistants and ensure all departments are aligned.
- Ensure productions comply with regulations, permits, and insurance needs.
- Support safety protocols and emergency procedures.
- Assist with DIT and post-production coordination.
- Maintain detailed records of activities, expenses, and contracts.
- Be a point of support, ensuring the production team has the resources they need.
Required Qualifications
- Ability to work a full week schedule in-person from the client’s Santa Monica office.
- Familiarity with aspects of video production, pre-production, and/or post-production.
- Previous experience with a production company, studio, or film/TV projects.
- Proficiency with Mac OS and iOS.
- Proficiency in Google Suite applications (Drive, Sheets, Slides, Docs, etc.).
- Effective interpersonal and team collaboration skills.
- Effective verbal and written communication skills.
- Effective organizational skills.
Preferred Qualifications
- Experience working in a studio environment.
- Experience as a Jira user.
- Familiarity with Adobe Creative Cloud programs, with an emphasis on Premiere Pro.
- Knowledge of film set equipment and cameras, microphones, and editing tools.
