About the Opportunity
The Procurement Operations Specialist plays a key role in supporting the procurement department by managing reporting processes, monitoring compliance with contracts and policies, and driving improvements in procurement operations. This position enhances project success by identifying performance issues, tracking supplier trends, and ensuring efficient workflows, thereby contributing to the department's effectiveness and the organization's operational goals.
Responsibilities
- Manage the department's regular reporting schedule, including portfolio status and contract closeout reviews.
- Develop and maintain procurement dashboards tracking key performance indicators such as cycle time, delivery, and spending.
- Monitor compliance with prime contract requirements and company policies, identifying systemic trends.
- Update and enforce department policies and procedures to maintain contract and policy compliance.
- Agregate and report on supplier delivery and expediting activities, highlighting delays or performance issues.
- Track receipt and invoice reconciliation metrics to identify process bottlenecks.
- Maintain records of supplier compliance documentation and flag gaps.
- Ensure procurement and subcontract files are consistently maintained and audit ready.
- Report on contract closeout aging and identify lagging areas.
- Prepare business reviews and management reports summarizing performance and risks.
- Identify departmental risks impacting supplier delivery or compliance and escalate appropriately.
- Lead process improvements to reduce cycle times and enhance supplier collaboration.
- Serve as the point of contact for procurement systems administration and reporting tools.
- Lead or support implementation of new procurement or ERP software and reporting tools.
- Perform additional procurement operations or reporting duties as assigned.
Requirements
- Proven ability to establish effective working relationships with internal and external stakeholders.
- Bachelor’s degree with at least 4 years related experience, or 12 years of relevant experience without a degree.
- Experience building department-level reports and dashboards from procurement or ERP systems.
- PREFERRED: Experience in procurement/ERP software implementation or system transitions.
- Advanced Microsoft Excel skills; experience with BI tools such as Power BI or Tableau is preferred.
- Ability to work independently and manage multiple deadlines in a fast-paced environment.
- Strong analytical skills to interpret data and provide clear recommendations.
- PREFERRED: Experience in U.S. Government environments (DOE or DOD).
- Understanding of warehouse, shipping/receiving, or material handling operations.
- PREFERRED: Nuclear or related industry experience.
- Strong organizational skills with attention to detail and accuracy.
- EFFECTIVE COMMUNICATION SKILLS AND ABILITY TO ESCALATE ISSUES PROFESSIONALLY.
- High integrity and ability to foster team work.
Pay Range and Compensation Package
The pay range and compensation package for this role will be determined based on the candidate’s experience, skills, and other relevant factors.
