Responsibilities

  • Demonstrate a high level of customer service to greet, register, and discharge all patients.
  • Cross-train and assist with back-office duties as needed within scope of practice.
  • Accurately collect and input patient demographics and financial information at registration.
  • Verify and update all patient insurance information at the time of registration.
  • Maintain strong knowledge of medical insurance plans, including co-pays, deductibles, and coverage limits.
  • Stay up to date with changes to government and commercial insurance plans.
  • Maintain a high-level understanding of the Fast Pace Self-Pay program.
  • Collect all insurance co-pays, deductibles, or Self-Pay amounts at the time of registration.
  • Answer phones with a polite, patient-centered manner, ensuring positive patient experiences.
  • Maintain Fast Pace customer service standards and facilitate patient flow by notifying providers of patient arrivals, being aware of delays, and communicating with patients and clinical staff.
  • Retrieve, fax, or mail medical records to primary care providers as needed; coordinate medical records for continuation of care.
  • Cross-train on back-office clinical skills to perform in a cross-functional role as needed.
  • Complete all mandatory compliance training and follow processes to maintain compliance standards.
  • Maintain friendly, cordial relations with all clients and employees, fostering a positive work atmosphere.
  • Perform physical, cognitive, and environmental functions of the position as specified in job demands.
  • Assist with folding towels, cleaning tables, and helping patients with exercise equipment.
  • Welcome new employees on their first day, facilitate introductions, provide clinic tours, and overview clinic processes.
  • Support new employee training through job shadowing, demonstration, and coaching.
  • Comply with company standards of operations and adhere to core values of teamwork, communication, empowerment, quality of care, and friendliness.
  • Promote and maintain a respectful culture of confidentiality for employees, employers, patients, and business information.
  • Demonstrate proficiency with basic PC skills, including typing, mouse usage, and software such as MS Outlook and Word.
  • Maintain overall cleanliness of the office, including taking out garbage, organizing desks, and ensuring a professional appearance for employees, patients, and visitors.
  • Keep the reception area clean and organized.
  • Perform other duties as assigned by management.

Requirements

  • High School Diploma or its equivalent.
  • Current CPR license.
  • 1 year of customer service experience, preferably in urgent care (Level 1).
  • 3 years’ experience in billing and coding with intermediate computer skills, including typing 70-100 words per minute and knowledge of Microsoft Office (Word, Excel) with intermediate Excel skills (basic formulas, VLOOKUP) (Levels 2 and 3).
  • 1 year of medical office experience with basic medical terminology and insurance knowledge preferred.
  • 1 year of experience with basic PC use, including mouse, standard software such as MS Office (Outlook, Word).
  • Willingness to cross-train on back-office clinical skills.
  • Ability to perform physical, cognitive, and environmental functions of the position.
  • Must be receptive to and active within 7 days of hire.
