Private Fleet Regional Manager-Southeastern USA
Primary Location: Southeastern USA (Remote-Based from Home with up to a 50% travel expectation)
Reports To: Sr. Private Fleet Leader
Compensation: $110,000-$130,000 base salary + bonus + full benefits
About the Role
The Private Fleet Regional Manager (PFRM) is responsible for leading a diverse team of 18–25 professional truck drivers located across 5–10 Chemtrade manufacturing sites. The PFRM will leverage best practices across their area of responsibility and collaborate with other PFRMs, plant management, EHS, and Lead Drivers to drive best-in-class performance. The role involves leveraging data-based metrics to understand and escalate Private Fleet utilization (equipment and drivers) as well as cost/budget management. The PFRM will lead drivers remotely with strong partnership and collaboration with Chemtrade manufacturing plant managers and will visit all sites regularly to drive engagement with the team and ensure safe, compliant delivery of Chemtrade products to customers.
Responsibilities
- Private Fleet Performance Management (30%)
- Help establish Private Fleet performance goals and communicate them throughout the region of ownership, both at the Fleet-level and individual-level driver metrics—holding drivers accountable for delivering results.
- Own operations for Private Fleet site performance within their region, including utilization of the site fleet, equipment requirements, lane alignment, and meeting shipment count goals.
- Review ELD data to highlight driving safety issues and address the need for improvement with offending drivers, including a pathway from coaching, engaging HR, through progressive discipline as needed.
- Utilize ELD data to review driver productivity to ensure adequate volumes are being executed by each driver and that payroll hours align with work completed.
- Review and distribute Driver Safety Bonus Scorecard and ensure drivers understand results along with opportunities to improve metrics and subsequent bonus payout.
- Collaborate with Fleet leadership to create a recognition/incentive program around meeting or exceeding individual-level metrics.
- Partner with Load Planning to review monthly Fleet volumes at a site level to explain any unfavorable variances to seasonally adjusted monthly volume targets.
- Review and course-correct lack of driver productivity and/or equipment underutilization.
- Work in partnership with manufacturing plant managers as required.
- Serve as the central point of contact for drivers and local load planning.
- Environmental, Health & Safety (25%)
- Work collaboratively with Tech Services for NOV/incident investigation to identify root causes and implement actions to prevent recurrence.
- Assist with NCR investigations to identify root causes and implement actions to prevent recurrence of customer complaints.
- Regularly review ELD data to proactively identify areas needing improvement prior to becoming an NOV/incident; ensure hours of service compliance.
- Understand DOT (Department of Transportation) safer/basics data to identify actions to improve.
- Establish Chemtrade-wide (PF site-wide) LFI/flash reports and share them.
- Establish EH&S audit process/checklist and conduct EH&S audits at plants.
- Establish an education program for drivers around DOT safer/basics metrics.
- Implement high-visibility tracking for key performance metrics at the plant level.
- Utilize MOC as required to ensure proper reviews/approvals.
- Establish and implement driver safety training/topics—weekly and monthly.
- Fleet Maintenance (15%)
- Provide input into maintenance strategy—both PM (Preventative Maintenance) and reactive maintenance.
- Establish an approved maintenance shop list and ensure setup as a vendor.
- Conduct maintenance shop audits.
- Ensure standardized maintenance approach and record-keeping.
- Ensure all mandatory DOT inspections are completed on time (VIPK, etc.).
- Establish and explain out-of-service metrics for trucks and trailers.
- Contribute to the recommended critical spare parts list and maintain inventory.
- Own asset inspection platform (WhipAround…pre-post trip inspections).
- Ensure equipment maintenance records are maintained appropriately (currently comply with DOT).
- Create work orders in WhipAround for maintenance events.
- Get estimates from the shop for work to be done, get Purchase Orders created, and approve invoices.
- Personnel – Recruitment/Hire/Onboard/Ongoing Management (10%)
- Submit hiring requisitions, conduct candidate screening, and choose who to interview.
- Interview candidates and evaluate them (coordinate driver test/inspection process, etc.).
- Select and offer jobs to successful candidates.
- For any medical issues that could impact the safe operation of the vehicle, ensure the driver is re-evaluated/fit for duty.
- Monitor license status, endorsements, annual physical, annual MVR, annual review, annual query; maintain hazmat training and endorsement; ensure TWIC as needed.
- Submit initial IT requests for onboarding new employees and complete onboarding checklist activities (Chemtrade generic stuff, set up in LMS, etc.).
- Conduct quarterly and annual performance review meetings with drivers.
- Manage daily personal issues—vacation/time off requests, providing coaching, managing issues (personnel issues, equipment issues, etc.).
- Create a positive work environment continually supporting and recognizing employees for professional and personal growth.
- Training (10%)
- Contribute to the driver training program, including the driver training manual.
- Assign training requirements to drivers in JJ Keller.
- Monitor training compliance.
- Create and maintain Chemtrade-wide Fleet procedures.
- Complete driver training manual/driver-specific onboarding.
- Establish emergency response training for drivers (put into the driver training book as relevant).
- Administer a program to ensure commercial driver licenses, endorsements, and certifications are maintained and record-keeping as needed.
- Refresh training materials as needed and for DOT/TC changes.
- Cost Control (10%)
- Partner with Fleet leadership to review cost centers related to the private fleet and the expenses coded into the cost centers—equipment, drivers, maintenance, fuel, etc.
- Contribute cost insights for the annual budgeting cycle and look for opportunities to reduce costs and ensure costs are appropriately aligned.
- Manage expense report approvals.
- Track ELD hours of service and PTO (Paid Time Off) to ADP payroll activities.
- Approve and track PTO.
Requirements
- Valid or previously held CDL considered an asset.
- Flexibility to work inside and outside (office setting and field setting).
- Training/experience in Six Sigma, lean manufacturing, or other professional supply chain certification is preferred.
- Advanced proficiency using office equipment and office software (Microsoft Excel, Word, PowerPoint).
- Experience with ERP systems (i.e., SAP) required.
- Demonstrated expertise in specialized areas relevant to the role.
- Excellent verbal and written communication skills, including the ability to communicate effectively with internal and external stakeholders and at all levels within the organization.
