About the Role

The Principal’s Secretary serves as a vital support to the Principal and administrative staff, handling confidential tasks, managing schedules, and performing a variety of clerical duties. This role is an extension of the Principal and requires professionalism, initiative, and the ability to represent the Principal effectively.
Responsibilities
- Initiate purchase orders, confirm pricing, and place orders; submit documents to the central office for credit card purchases.
- Assist with payroll activities.
- Manage the Principal’s calendar, including scheduling and tracking teacher formal and informal evaluations and parent meetings.
- Perform general errands for the school Principal, including travel to the central office.
- Greet and assist visitors to the Principal’s office.
- Perform general clerical functions, such as photocopying, faxing, filing, and preparing correspondence on behalf of the Principal.
- Assist in preparing the weekly staff communication and electronic announcements for parents.
- Support the Principal with specific tasks or projects, including attending meetings outside of the school.
- Track all IEP meetings in which the Principal or Assistant Principal participates.
- Assist other office secretaries as necessary, including organizing substitute teachers if needed.
- Assist in planning and preparing school culture activities, staff meetings, and campus events.
- Take notes in meetings with the Principal.
- Collect and organize administrative documents.
- Assist with administrative monthly reporting (CRC).
- Assist with creation, communication, and maintenance of the staff yearly calendar (YAAG).
- Assist with PVO (Parent Volunteer Organization) tasks.
- Assist with preparing for new staff onboarding and first-day schedules.
Requirements
- Strong computer skills, including proficiency in Microsoft Office and Google Programs.
- Previous experience in a school setting.
- Must demonstrate initiative and the ability to handle multiple tasks simultaneously.
- Ability to manage ambiguity and confidentiality at all times.
- Excellent communication skills with students, coworkers, administration, and parents.
- Ability to collaborate with teachers and school staff.
- Ability to maintain a professional appearance.
- Nevada Employees: NV Fingerprint Background Check required.

- Duties are performed typically in school and/or office settings throughout the division.
- Frequent walking, standing, stooping, and lifting up to approximately 25 pounds; occasional lifting of equipment/materials up to 40 pounds may be required.
- Ability to stand for extended periods, see and read a computer screen and printed material (with or without vision aids), hear and understand speech at normal levels and on the telephone, and speak in audible tones so others may understand clearly in person and on the telephone.
- Ability to understand and follow oral and written instructions.
