The Pre-Employment Coordinator role is being listed on behalf of a partner company managing all applications and next steps. The role is based in the United States and provides essential coordination support throughout the candidate onboarding and pre-employment process.

About the role

This position involves supporting end-to-end pre-employment activities, including background checks, drug screenings, security clearance coordination, new hire notifications, and required documentation. It also entails maintaining accurate records and collaborating with various teams to ensure efficient onboarding and compliance with internal processes and regulatory standards.

Responsibilities

  • Coordinate candidate requirements and manage workflows, documentation, and system updates.
  • Maintain accurate candidate records and track progress across applicant tracking and security-related systems.
  • Collaborate with Talent Acquisition, Human Resources, Security, and operational teams to ensure all onboarding requirements are completed efficiently.
  • Manage a high volume of candidate and new hire activities while meeting established service-level expectations.
  • Follow defined workflows, policies, procedures, and compliance requirements to ensure consistent processing.
  • Document actions, updates, and outcomes across multiple systems with accuracy and attention to detail.
  • Support candidate communication by providing clear updates, guidance, and timely responses throughout the process.
  • Handle confidential candidate and employment information appropriately and securely.
  • Aid in Talent Acquisition and security-related projects as needed.
  • Identify process improvements and proactively resolve issues to enhance operational effectiveness.

Requirements

  • Detail-oriented and customer-focused professional with strong organizational skills, adaptability, and the ability to manage confidential information.
  • 0-1+ years of experience in recruiting coordination, HR support, customer service, administrative operations, or a related field.
  • High school diploma or equivalent required; bachelor’s degree preferred.
  • Prior experience working with applicant tracking systems or HR platforms preferred.
  • Must be a U.S. Citizen.
  • Strong customer service mindset with a helpful, patient, transparent, and professional approach.
  • Excellent attention to detail with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills in English.
  • Ability to follow structured processes while exercising sound judgment and problem-solving skills.
  • Comfortable handling confidential and sensitive information.
  • Proficiency with Microsoft Office tools, including Outlook, Excel, and Teams; SharePoint experience is a plus.
  • Ability to work independently, stay organized, and maintain productivity with minimal supervision.
  • Strong collaboration skills and ability to build trust-based relationships with internal teams.
