Essential Functions & Responsibilities

  • Provides on-site supervision of staff, while actively participating in clinic operations as needed to support clinical and patient flow functions as needed.
  • Serves as an on-site resource, assisting the Practice Manager with coaching, guidance, and support for clinical practice staff.
  • Manages and approves timecards for assigned staff.
  • Affords assistance with various payroll processes, staff scheduling and coordination, orientation, and ongoing staff training.
  • Aids the Practice Manager with budget monitoring and resource utilization to support cost-effective operations.
  • Maintains oversight of work queues and ensures no open charts, incomplete documentation, or unresolved issues that could delay billing or claim submission.
  • Collaborates with coding, billing, and leadership to reduce charge lag and improve reimbursement outcomes.
  • Organizes, prioritizes, and assigns work for Medical Assistants, Technicians, Nurses, and other clinical staff based on volume, acuity, and operational needs.
  • Maintains patient throughput and clinic schedules to ensure efficient flow and optimal patient access.
  • Identifies and addresses operational concerns proactively and performs service recovery as needed.
  • Supports the development, implementation, and adherence to departmental policies, procedures, and regulatory requirements.
  • Establishes effective working relationships and maintains positive communications with staff, physicians, and other customers.
  • Reinforces service excellence culture aligned with iCARE values.
  • Maintains office supply inventories.
  • Supports performance improvement initiatives and corrective actions in partnership with the Practice Manager as needed.
  • May be required to travel to other clinic locations and demonstrate flexibility in supporting clinic operations as needed.
  • Performs other duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Current Medical Assistant (MA) certification required.
  • Incumbents functioning in a direct patient care role must maintain applicable certification/licensure in accordance with MWHC policy.
  • Current American Heart Association (AHA) Basic Life Support (BLS) certification required at hire.
  • Minimum of one (1) to two (2) years ambulatory practice experience required; prior lead or supervisory experience preferred.
  • Demonstrated knowledge of physician practice clinical operations, including patient access, scheduling, documentation, charge capture, and work queue management.
  • Strong interpersonal, written, and verbal communication skills, with the ability to interact effectively with patients, providers, leadership, and Associates.
  • Strong time management, organization, and prioritization skills with the ability to adapt to changing operational demands.
  • Demonstrated analytical thinking and problem-solving skills, including workflow assessment and process improvement.
  • Ability to manage multiple responsibilities simultaneously while maintaining attention to detail and professionalism under pressure.
  • Working knowledge of standard office software required; experience with electronic medical records (e.g., Epic) and work queue management strongly preferred.
  • Demonstrates initiative, accountability, and the ability to function effectively as a working supervisor in both leadership and hands-on roles.
