About the Team

The Practice Manager works with the Sound Physicians team onsite at the hospital partner daily. This team consists of a Practice Medical Director, Clinicians, and a Clinical Performance Nurse. The Practice Manager also works closely, daily, with key stakeholders at the hospital partner, such as hospital leadership, case management, and others.

Responsibilities

  • Act as the front-line liaison for the provider team with hospital C-Suite, nursing leadership, and Sound operational team.
  • Provide executive support to the practice medical director and practice team to meet contract expectations.
  • Handle office management functions including meeting management, office systems, supplies, and practice events.
  • Collaborate with the Medical Director and Practice Management Team in developing and maintaining site practice policies and procedures.
  • Facilitate all aspects of the daily patient census/reconciliation and daily multi-disciplinary rounds (as applicable to the practice line).
  • Administratively enable patient care by facilitating home health order workflows, responding to medical records requests, coordinating patient PCP follow-up appointments, and completing death certificates.
  • Ensure all aspects of recruiting are executed, including coordination of onsite interviews with hospital leadership and promoting a positive candidate experience.
  • Ensure all aspects of on-boarding and orientation are completed for new clinicians as well as locums & ambassadors.
  • Develop and maintain practice orientation checklists and policies.
  • Ensure all licensed providers complete their recredentialing timely and appropriately for licensing, certificates, and credentials required by Sound and the hospital Medical Staff Office.
  • Monitor state licenses expirations and ensure compliance with reappointments.
  • Ensure clinicians obtain hospital privileging and payer enrollment is complete prior to patient care.
  • Manage relationship with hospital Medical Staff Office, troubleshooting barriers to on-time starts.
  • Ensure billing and documentation compliance for the practice.
  • Ensure clinicians participate in mandatory compliance training and remediation, if required, and that clinicians timely query responses and participate in compliance activities.
  • Participate in all medical group training offered by Sound pertinent to role and responsibilities.
  • Support clinicians in open enrollment for benefits on an annual basis and demonstrate an understanding of Sound’s benefits plan.
  • Support clinicians through entry of life event changes in Sound’s HR Information System.
  • Act as the point person for all Human Resources relations, ensuring accurate practice roster and compliance with employment law and Sound policies.
  • Administratively support clinician employment agreement amendments for team members.
  • Act as the super user for all software applications and as a point person for hospital software and hardware systems.
  • Establish and maintain group norms for the practice team, at the direction of the medical director.
  • Maintain visual/management boards to support team communications and recognition.
  • Train/mentor practice coordinators, as requested.
  • Encourage practice participation in Sound bedside/colleague engagement surveys.
  • Collect, track, and analyze all site financial and operational data.
  • Review and validate shift and productivity data for appropriate processing by payroll each month.
  • Review P&L for performance and participate in budget creation and maintenance.
  • Create and optimize clinical schedule, ensuring accurately documented shifts for payroll processing and promoting practice sustainability with no disruption to patient care 120 days in advance.
  • Participate and support the Monthly Operating Review and Monthly Performance Reviews focused on practice financial, clinical, and operational performance.
  • Serve as general administrative liaison to hospital executives and staff regarding hospital needs.
  • Coordinate practice events (team meetings, JOCs, etc.) and ensure client-facing materials are refreshed with Sound current standards.
  • Maintain hospital contact information and document contact changes in Salesforce.
  • Understand contract terms and Sound team's responsibility to execute, including renewal dates and payment terms.
  • Ensure accuracy of PCP database and distribution of PCP list and manage PCP outreach for patient list.

  • Knowledge of relevant state and federal healthcare regulations.
  • Basic understanding of financial and budgeting processes/principles.
  • Knowledge of HR information systems and basic HR knowledge.
  • Bachelor's Degree in business administration, healthcare administration, or a similar related field of study or equivalent work experience.
  • 3-5 years' experience working in healthcare operations. Experience managing a physician group practice is preferred.

Pay

$70,000-$100,000 annually. In addition, Practice Managers are eligible for a bonus opportunity. Exact pay will be determined based on candidate experience, geographical location, and size/complexity of the program being supported.

Schedule

This role works on-site at our practice within the hospital. There are no travel requirements for this role.
