Practice Manager

About the role

Wright Veterinary Medical Center began in a renovated barn on Dr. Clifford Wright, Jr.’s family farm in Bethlehem. Today we are a full-service, AAHA-accredited veterinary provider offering advanced services not found at other local practices. The Practice Manager is the financial and operational leader of the hospital, partnering with hospital leadership and Community Veterinary Partners to ensure efficient day-to-day operations and successful financial performance. The Practice Manager leads by example to motivate and inspire the team to deliver excellent care for clients and their pets.

Responsibilities

• Human Resources
  • Administer all human-resource functions: recruitment, hiring, training, scheduling, performance evaluations, counseling, and terminations.
  • Manage annual performance evaluations; conduct evaluations for supervised staff with department-lead assistance.
  • Implement and maintain Employee Safety and Disaster Plan procedures and manuals.
  • Ensure compliance with OSHA and Workers’ Compensation programs.
  • Distribute policy changes, meeting highlights, and client feedback to staff.
  • Mediate personnel grievances and document all reprimands and counseling sessions.
• Operations
  • Keep CVP management informed of staff, client, facility, or equipment issues.
  • Respond to and resolve client concerns in partnership with the Lead Veterinarian and RDO.
  • Implement marketing activities with CVP and the Lead Veterinarian.
  • Ensure premises, physical plant, and equipment are safe, clean, and in optimum working condition; schedule regular maintenance.
  • Ensure compliance with all regulatory issues (radiation monitoring, business permits, animal-control ordinances).
  • Maintain and amend client-education handouts as needed.
  • Oversee inventory purchasing and management within budget guidelines.
  • Schedule and attend all required meetings (staff, hospital leadership).
  • Administer the hospital’s patient-reminder system.
  • Oversee implementation of client wellness programs and monitor compliance with CVP.
  • Monitor hospital email.
  • Manage the hospital practice-management system.
• Marketing
  • Monitor, implement, and evaluate client communications (direct mail, signage, social media).
  • Update the marquee with timely messages.
  • Develop referral relationships with humane societies, pet stores, and similar organizations.
  • Attend community functions to build the client base.
• Financial
  • Participate in the yearly budgeting process and monthly P&L reviews; discuss weekly financial reports with the lead doctor.
  • Proactively monitor financial progress, analyze results, and adjust to meet budget goals.
  • Partner with RDO to submit capital-expense requests per CVP guidelines.
  • Verify accuracy of vendor statements and match invoices.
  • Prepare the weekly CVP Business Package.
  • Manage the bi-weekly payroll process.
  • Oversee daily cash and check deposits; manage local banking relationships.
• Work scheduled shifts providing client service and/or direct patient care as needed.

Supervisory Responsibilities

The Practice Manager is responsible for managing all hospital team members.

Requirements

• 4+ years of hospital-management experience, preferably in Emergency/Specialty.
• College degree preferred.
• Certification in Veterinary Practice Management preferred.
