About the role
As the Center Administrator (CA) at ArchWell Health, you will lead all operations within a single center, ensuring clinical and administrative functions are executed effectively. You will supervise both clinical and non-clinical staff, support operational initiatives, and drive practice profitability, revenue goals, and key performance metrics including clinical quality of care, member satisfaction, staff satisfaction, and productivity.
Responsibilities
- Lead, coach, and mentor a multi-disciplinary team of 10+ colleagues, fostering a culture of accountability, collaboration, compassion, and service excellence.
- Partner with the Market Operations Director to build a best-in-class customer service experience, demonstrating continuous improvement in member satisfaction scores.
- Ensure efficient operation of systems, including scheduling and billing, while providing feedback and coaching to the administrative team.
- Create a positive and productive work environment to attract and retain staff, providers, and members.
- Oversee compliance with physician documentation, coding audit programs, member and staff safety regulations, and HIPAA guidelines.
- Facilitate regular team meetings to strengthen communication, establish best practices, and align on operational and quality priorities.
- Manage resource allocation to ensure appropriate staffing levels for business needs and expected growth.
- Conduct routine staff observations and performance audits to ensure adherence to clinical workflows, safety standards, and documentation guidelines.
- Provide real-time feedback, individualized coaching, and structured development plans to support colleague growth and performance consistency.
- Ensure financial targets are met, including cash management, financial reporting, and other fiscal responsibilities.
- Oversee daily center operations to optimize scheduling, registration, billing, documentation, and patient flow processes.
- Uphold compliance and regulatory requirements, including HIPAA, safety regulations, and internal quality standards.
- Conduct systematic audits of safety practices and clinical/administrative processes to ensure compliance and high reliability.
- Identify performance gaps and lead process-improvement initiatives to strengthen quality and reduce errors.
- Partner with clinical leadership to monitor key quality metrics and implement interventions to meet or exceed care benchmarks.
- Implement strategies to enhance member engagement, satisfaction, and retention through service recovery and proactive support.
- Collaborate with cross-functional teams to optimize managed-care performance, productivity, and cost-management initiatives.
- Serve as a trusted ambassador for ArchWell Health within the local community.
- Develop and maintain relationships with healthcare partners, community organizations, and senior-service agencies to support membership growth and reputation.
Requirements
- Bachelor’s degree in Healthcare Administration, Business Administration, or a closely related discipline (preferred).
- Minimum of 5 years of related work experience in a medical clinic, hospital, or hospitality setting.
- Minimum of 3 years of supervisory/managerial experience in a medical clinic, hospital, or similarly regulated environment.
- Experience with ECW (eClinicalWorks) is strongly preferred.
- Passion for mentorship and team development across multiple functional areas.
- Problem-solving orientation with an eagerness to identify process gaps and implement practical solutions.
- Proficient PC skills.
- Fluency in Spanish or other languages spoken in the communities served (where necessary).
