Responsibilities
- Coordinate daily workflows for medical scribes across assigned providers and locations
- Monitor documentation quality, timeliness, and compliance with organizational standards
- Provide onboarding, training, and ongoing competency support for scribes
- Conduct routine audits of scribed encounters to ensure accuracy and completeness
- Serve as escalation point for documentation or workflow issues impacting providers
- Develop and maintain provider schedules across multiple sites
- Optimize scheduling templates to maximize provider productivity and patient access
- Coordinate coverage for provider absences, PTO, and call schedules
- Collaborate with intake/admissions teams to align patient volume with provider capacity
- Monitor scheduling metrics and adjust workflows to reduce inefficiencies
- Support onboarding and orientation of new providers and scribes
- Coordinate ongoing education initiatives related to documentation standards and workflows
- Assist in development of training materials and SOPs
- Reinforce compliance with organizational policies and payer requirements
- Assist with implementation and standardization of clinical workflows
- Monitor operational metrics such as visit volumes and documentation turnaround time
- Support medical record request workflows
- Collaborate with leadership on process improvement initiatives
- Ensure alignment with regulatory and payer requirements
- Act as liaison between providers, scribes, intake teams, and leadership
- Facilitate resolution of operational issues
- Participate in operational meetings and provide reporting insights
- Honor patients’ rights to fair and equitable treatment, self-determination, individuality, privacy, property and civil rights
- Comply with the Corporate Compliance Program
- Report job-related functions/tasks that involve occupational hazards including exposure to blood and body fluids and others as necessary
- Follow established safety regulations to include fire protection/prevention, smoking regulations, infection control, etc.
- Comply with all Privacy and Security, Adverse Event Response, and Disaster Security and Business Recovery programs
- Promote the image and reputation of the System by exhibiting servant leadership and providing direct and open lines of communication
- Contribute to the work of committees, workgroups, project management, and other collaborative efforts of the System
- Perform other duties as necessary to ensure the success of the System
Skills
- Knowledge and compliance with rules and regulations governing medical care and payment for medical services
- Knowledge and compliance with the procedural guidelines for the organization and its health service locations
- Knowledge of federal and state health services regulations, value based care and standards emanating from Medicare and Medicaid, third party payers, and other external agencies and businesses
- Knowledge and reasonable experience in establishing and/or developing productive relationships with physician groups, third party payers, employers, and other healthcare entities such as HMOs, PPOs, PHOs, and community clinics
- Knowledge of care transitions/case management/resource utilization programs, evidenced based treatment protocols, and other initiatives used to improve physician and health service performance within a market
- Good understanding of physician incentives and compensation methods, preferably with a record of accomplishment of building physician support
- Understanding of the approaches and methods of process improvement, including planning, setting priorities, systematic performance assessment, implementation, and ongoing monitoring to continue improvement
- Strong organizational and coordination skills
- Knowledge of clinical documentation workflows and EHR systems
- Ability to manage multiple priorities
- Data-driven mindset
Requirements
- Valid Georgia Driver’s license
- Bachelor’s degree required
- 3-5 years practice management experience
