About the role
Practice Coordinator – Anesthesia is an onsite position rotating between HCA Houston Northwest and HCA Houston Tomball. Hours are Monday–Friday, 8:00 AM–5:00 PM.
Responsibilities
- Provide complex administrative support: coordinate resources across corporate functions, prepare presentations and spreadsheets, compose routine correspondence with internal and external contacts.
- Manage calendars for executives and consultants, including coordination of a variety of complex meetings and heavy travel scheduling.
- Conserve leadership time by reading, researching, and routing correspondence; drafting communications; collecting and analyzing information; initiating telecommunications.
- Submit expenses and invoices for Site Medical Leader, Director of Operations, and other team members.
- Collaborate with HCA Healthcare Director of Operations and Client Services to complete forms for Credentialing, Payroll, Human Resources, and Legal to ensure timely Provider contracts.
- Work with Practice Manager to ensure timeliness of new Provider contracts.
- Assist the Medical Director with department staff meeting agendas, attendance tracking, and minutes.
- Resolve issues and remain current on policies and procedures.
- Assist Quality Specialists with data collection and aggregation for reporting.
- Process Provider payroll and collaborate with workforce to implement Kronos rules and pay codes.
- Help facilitate Provider credentialing by obtaining all necessary documents to expedite processing.
- Assist the Site Billing Coordinator to ensure medical records are completed in a timely manner for billing.
- Attend site visits with Practice Manager or Regional Practice Director.
- Develop relationships with Providers and Senior Leadership to communicate initiatives.
- Attend department staff meetings and take minutes as needed.
- Answer Provider requests and/or triage Provider and/or patient issues to the appropriate party.
- Receive and process Provider expense reports for payment.
- Maintain Provider files to include OPPE, CME, performance-related information.
- Correspond with Providers as requested by Site Medical Director and/or Clinical Leadership.
- Coordinate facility-specific orientation and facilitate system access by working with Hospital IT staff.
- Review staffing vacancies for accuracy and review changes with Operator and/or Clinical Leadership.
- Navigate the corporate processing system for new hires: request contracts, assure HR, payroll, and credentialing forms are mailed, received, and returned; track information and follow up on missing items.
- Monitor credentialing progress to ensure candidates are processed internally and at the facility as close to the preferred start date as possible.
- Assist in recruitment for open positions: prepare PRF’s, schedule interviews, prepare interview agendas.
- Maintain an up-to-date contact list of all assigned Providers.
- Participate in process improvement projects and/or Kaizen’s.
- Handle paperwork associated with staffing needs involving HR and credentialing.
- Assist Operations and Clinical Leadership in completing Provider schedules and communicating with Providers for urgent staffing needs.
- Publish completed schedules and assist Clinical Leadership as needed.
- Review and submit bills to AP for payment.
- Issue financial, cost, and operating reports.
- Prepare documentation and reports for annual budget and forecasting meetings.
- Review contracts and validate compensation packages.
- Assist with monitoring malpractice accuracy.
- Coordinate annual clinical bonus amounts for approval.
- Prepare other reporting requests as needed.
- Perform other clerical duties as assigned.
Qualifications
- High School Diploma or GED.
- 3 or more years of equivalent work experience.
- Associate degree or bachelor’s degree in a Business Administrative field preferred.
