About the Role

The Anesthesia Coordinator assists in the operations of Sound Physicians by providing management services to the Anesthesia program. This role involves onsite practice management and daily oversight of administrative responsibilities. The Anesthesia Coordinator will engage with the entire site team, multiple hospital departments (including the Medical Staff Office), community providers, and specialty physicians. This position reports to either the Program Manager, Regional Director, or VP of Operations and works closely with the Program Medical Director to ensure optimal performance and efficiency of the program.

Responsibilities

  • Schedule Coordination:
    • Create and manage the Anesthesia team schedule with the site Program Medical Director and staffing coordinator, planning 3-6 months ahead with awareness of labor/staffing mix and escalating critical staffing gaps.
    • Drive internal staffing calls with the Program Medical Director and Staffing Coordinator, following up on scheduling issues or barriers.
  • Physician/CRNA Interview and Onboarding Coordination:
    • Coordinate onsite physician/CRNA interviews with hospital leadership and follow up on hiring recommendations.
    • Oversee coordination of physician/CRNA orientation and facilitate all onboarding requirements.
  • Practice and Central Services Coordination:
    • Ensure 100% accuracy in physicians’/CRNA’ shifts for payroll, including proper documentation of shifts worked and rates.
    • Serve as a liaison between Sound and the Hospital Medical Staff Office, ensuring credentialing and provider enrollment packets are complete and following up on missing documentation.
    • Act as a liaison between Hospital departments and the Anesthesia team, building and maintaining relationships to provide information and resources as needed.
    • Understand program requests around committee participation and assist the Program Medical Director in ensuring Anesthesia participation.
    • Communicate key announcements to the Anesthesia team and maintain important team documents.
    • Oversee partnerships with internal Provider Enrollment, Billing, Payroll, and Compliance teams.
  • Administrative:
    • Provide administrative support to the Program Medical Director, including scheduling and special projects.
    • Coordinate monthly team meetings, including scheduling, agenda preparation, room/material facilitation, and meeting minutes.
    • Manage incoming phone calls, faxes, and mail.
    • Maintain a Master team list and hospital values.

Requirements

  • Strong interpersonal skills with the ability to handle sensitive situations and confidential information.
  • Ability to multi-task and prioritize workload in a fast-paced environment.
  • Technology competency with electronic software needed for the role (e.g., Sound Connect, EMR).
  • Proficiency with Microsoft Office Suite (e.g., Outlook).
  • Detail-oriented with excellent organizational abilities.
  • Strong written and oral communication skills.

Qualifications

  • Minimum: High School Diploma or GED. Medical Assistant Certification is required.
  • Minimum: 1-2 years of healthcare customer service and/or 1-2 years of experience in a Medical Office, Medical Group Management, or Hospital setting.
  • Hospital or physician group management experience preferred.
  • Ability to interact and communicate with individuals at all levels of an organization.
  • Client service-oriented (both internal and external).
  • Demonstrated poise, tact, diplomacy, and good judgment.

Pay

This position offers an annual salary range between $50,000 - $65,000, considering the candidate’s experience, location, and the nature of the program being supported.
