About the role
The Practice Assistant II plays a crucial role in supporting the operations of the Endoscopy Center. They are responsible for managing the scheduling system, handling patient inquiries, ensuring accurate documentation, and facilitating communication between various departments.
Responsibilities
- Book appointments with appropriate providers within the scheduled timeframe and ensure accurate and complete information is entered into the system.
- Triage phone calls to the appropriate individuals/areas, being courteous and professional while taking messages using appropriate forms in a legible and accurate manner.
- Provide patients with accurate information regarding the preparation for procedures and ensure prep instructions are sent to the patient in a timely manner.
- Prepare, organize, and maintain hospital records, paperwork, and medical records, ensuring compliance with all hospital policies including patient confidentiality.
- Maintain department service standards, focusing on personal/behavioral, staff teamwork, and patient-staff interaction guidelines.
- Identify and articulate potential barriers to safe, efficient, and proper patient care to leadership, management, and physician teams.
- Follow up on missing records, coordinating with the medical records department when necessary.
- Facilitate paperwork needed for endoscopy procedures and assist the billing coordinator with appropriate and timely authorization for patients' appointments.
- Ensure proper disposition of all appointments daily to facilitate prompt and accurate charge entry by the billing coordinator.
- Maintain a positive and professional working relationship with all ambulatory personnel.
- Perform other tasks as directed by the supervisor.
Requirements
- A high school diploma or GED is required, with a minimum of one year of applicable work experience preferred.
- Additional training in office systems is preferred.
- Knowledge of practice operations and standards.
- Ability to use phone system, answer routine questions, and give routine information.
- Ability to interpret information, answer routine questions, and communicate professionally.
- Ability to manage work processes neatly and orderly, sort and alphabetize, and manage multiple tasks effectively.
- Ability to correspond and communicate with others clearly and effectively in writing and to take complete and accurate messages.
- Basic understanding and use of medical terminology.
- Basic comprehension of insurance types and referral process.
- Basic comprehension of registration and fiscal information.
- Knowledgeable and compliant with all hospital, State, and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.
- Ability to function effectively in a fast-paced and challenging environment with a large group of physicians involved in academic work and patient care.
- A positive outlook and demonstration of sound judgment.
- Respect for strict confidentiality of patients and medical information and records.
- Ability to respond to the needs and provide assistance to others when called upon.
Qualifications

Schedule
Day shift, 40 hours per week
