About the Role
Responsible for strategic planning, practice development, and the administrative and clinical operations of multiple Specialty ambulatory practice locations to support achievement of medical group goals. Partners with clinical directors and managers in practices where nursing leadership oversees or has a matrixed relationship for clinical operations. Operates in a collaborative and supportive environment to manage practice growth, support development efforts, and emphasize service and quality. Oversees and manages operational and practice-related requirements with the Office/Practice Manager, providing dotted-line supervision for administrative and clinical staff. Provides leadership and direction while ensuring consistent applicability with the policies and procedures of CNE Medical Group and applicable operating units. The Practice Administrator maintains a visible on-site presence at the practices, focusing on establishing and maintaining professional relationships with providers, managers, and staff.
Responsibilities
- Collaborates with the Executive Director of Operations and other leadership team members to develop and facilitate the implementation of the strategic direction of CNE and CNEMG, ensuring high-quality health care delivery.
- Ensures the development and implementation of approved annual practice plans, goals, and objectives for each practice/program based on the strategic plan, focusing on:
- Increasing revenue
- Implementing cost controls to improve net margin
- Expanding services
- Adding new providers
- Improving patient access and satisfaction
- Enhancing employee and provider engagement
- Establishes and manages provider relationships in assigned practices, supporting productivity challenges and implementing workflow changes to enhance efficiency.
- Engages providers to enhance productivity, fully utilize clinic resources, and increase CNE’s net patient revenue.
- Provides leadership to direct reports in executing approved strategies and goals, including weekly in-person meetings with managers and monthly practice priority meetings with providers.
- Maintains a minimum weekly on-site presence in all managed practices and participates in office/practice manager group meetings as required.
- Manages the implementation of operating policies, procedures, systems, and programs consistent with organizational philosophy, strategy, and financial accountability, ensuring standardization across business units.
- Manages fiscal resources of the practices responsibly, making recommendations for capital, operating, and staffing budgets, and preparing annual goals and budgets for submission.
- Prepares and manages annual budgets for assigned practices, including variance report explanations when actual results deviate from the budget.
- Works closely with revenue cycle management (RCM) leadership to continuously improve the revenue cycle, maintaining up-to-date knowledge of third-party billing and coding regulations.
- Ensures all practice and provider encounters are closed within the prescribed period and monitors work queues (e.g., Charge Review, Charge Router Review, Claim Edit, Follow-up, Open Encounters) for timely resolution.
- Collaborates with the Executive Director of Operations to enhance existing services and implement new business strategies to build and maintain desired patient panel levels for providers.
- Evaluates the need for new resources (e.g., additional providers, staff, or services) and designs comprehensive business plans/proposals to support growth.
- Manages key performance indicators measuring financial performance, operational effectiveness, clinical quality, and patient experience, developing strategic action plans to improve underperforming metrics.
- Provides monthly dashboard and action plan results to the Executive Director of Operations, physician leadership, and other stakeholders.
- Ensures practice efficiency and effectiveness by observing operational flow, assessing provider capacity and utilization, and adjusting staffing and expenses based on fluctuating volumes.
- Evaluates staffing structures and makes recommendations based on financial data, practice utilization requirements, and FTE benchmarks.
- Collaborates with nursing leadership and subject matter experts to maintain regulatory and accreditation readiness, ensuring compliance with all required standards.
- Conducts monthly readiness rounds and develops action plans to mitigate risk, providing timely feedback to leadership, providers, and staff.
- Oversees the onboarding of practice management staff, including recruiting, hiring, developing, training, coaching, and managing office/practice managers.
- Designs standardized training programs, sets goals, conducts professional development plans, and evaluates performance annually.
- Assesses team member performance and implements corrections as needed.
- Identifies themes around staff, provider, and patient complaints and presents potential solutions to the Executive Director of Operations.
- Fosters teamwork and unification of practices, organizing meetings by groups and/or specialty to discuss challenges and share best practices.
- Performs other duties as assigned or requested.
Requirements
- Bachelor’s degree in Business, Healthcare, or a related field required; Master’s degree preferred.
- Minimum of 7 years of experience, preferably in healthcare administration.
