About the role

This role serves as the primary liaison between patients, physicians, clinical organizations, surgical facilities, insurance companies, and ancillary departments to ensure procedures are scheduled accurately, authorized appropriately, and completed efficiently. The Procedure Coordinator delivers exceptional customer service while guiding patients through every step of their treatment journey.

Responsibilities

  • Coordinate the scheduling of orthopaedic surgeries and procedures at hospitals, ambulatory surgery centers, and office locations.
  • Serve as the primary point of contact for patients throughout the surgical scheduling process.
  • Act as the corporate liaison for Regenexx and the provider.
  • Assist in procedures by setting up, drawing the specimen, processing the specimen, and preparing it for injection while adhering to all biohazard and infection control protocols to ensure patient safety.
  • Educate patients on procedure preparation, pre-operative requirements, and post-operative appointments.
  • Obtain and verify insurance authorizations and referrals for surgical procedures, imaging, injections, and other services as needed.
  • Coordinate with physicians, physician assistants/nurse practitioners, hospitals, anesthesia providers, and surgical facilities to ensure all required documentation is complete.
  • Schedule and track pre-operative testing, medical clearances, laboratory work, and imaging.
  • Ensure surgical consents, history and physical documentation, operative orders, and required forms are completed prior to surgery.
  • Communicate procedure dates, arrival times, instructions, and any scheduling changes to patients and care teams.
  • Maintain accurate documentation in the electronic medical record (EMR).
  • Verify patient demographics, insurance information, and benefits.
  • Coordinate post-operative appointments and follow-up care.
  • Collaborate with clinical and administrative staff to improve workflow and patient satisfaction.
  • Maintain confidentiality in accordance with HIPAA regulations.
  • Attend department, clinic, or company meetings as required.
  • Demonstrate sound judgment by taking appropriate actions regarding questionable findings or concerns.
  • Consistently work in a positive and cooperative manner with fellow staff members.
  • Respond to changing situations in a flexible manner, such as reprioritizing work as necessary.
  • Attend required annual in-service programs.
  • Demonstrate knowledge and understanding of all company policies and procedures.
  • Perform other duties as assigned.

Requirements

  • Phlebotomy training and/or certification required.
  • Medical Assistant experience or certification preferred.
  • 2+ years of procedure or surgery scheduling experience preferred.

Pay

USD $17.00–$30.00 per hour.
