Job Duties

  • Arranges for the efficient and orderly appointment of patients, ensuring accurate patient information and awareness of hospital policies and procedures.
  • Identifies and verifies patients via correct identification, insurance, and appointment.
  • Records and verifies accuracy of demographics and insurance information.
  • Scans required items such as ID/insurance cards/consents and eligibility in the billing system.
  • Admits, discharges, and transfers patients to and from units like ED, Skilled Nursing Facility, Psychiatric Services, SDS, outpatient ambulatory, etc.
  • Assists with patient discharges and provides additional copies of physician orders as needed.
  • Ensures real-time and accurate patient appointment dispositions.
  • Schedules according to clinic protocols.
  • Communicates any aberrations, such as patients leaving without being seen, clinic requests for session closures, or rescheduled patients.
  • Assists with acclimating new staff to the department as needed.
  • Performs a variety of clerical and typing assignments (photocopying, memos, emails, etc.).
  • Opens and tracks to resolution service requests as needed with IT, engineering, environmental, etc.

  • Ensures cross-training is provided to members of the clinic to increase clinical efficiency and promote employee development.
  • Functions as a resource for training and acclimating new associates to the clinic.
  • Motivates other clerks in a positive manner, develops teamwork.
  • Maintains an excellent rapport with colleagues.
  • Gains cooperation while working toward clinic goals.
  • Develops a positive relationship with other departments, services, and programs to obtain information in an effort to resolve any clinic-related needs.
  • Encourages clerks' participation and communication in decision-making.
  • Works collaboratively and respectfully with other members of the Heart Institute management team.
  • Demonstrates initiative and flexibility in the performance of job responsibilities.
  • Makes decisions independently.
  • Strives to make the best use of time during the work shift through careful coordination of daily tasks, reducing nonessential interruptions to ensure an absolute minimum in order to complete assignments.
  • Gives and receives feedback and evaluation as an improvement tool.
  • Actively seeks ways to proactively improve operational processes.
  • Communicates any challenges/issues to the Practice Administrator after exhausting potential resolutions.
  • Speaks, reads, and writes English to the extent required by the position. Second language a plus.

Education/Licensure

  • High school graduation or equivalent required.
  • One to three years of progressive clerical experience in a health care organization.

Skills

  • Typing: 45 wpm.
  • Good oral and written communication skills.
  • Good interpersonal skills.
  • Speaks, reads, and writes English to the extent required by the position. Second language a plus.
