About the role

The Laboratory Animal Resource (LAR) group at Princeton University is a centralized administrative department reporting to the Dean for Research, responsible for animal and veterinary care of all research animals at the university. The Procurement Coordinator supports all managers within the LAR department and processes orders using the PeopleSoft Financial System or as procedures dictate.

Responsibilities

  • Research Investigator Orders: Process orders in a timely manner using PeopleSoft Financial System, Department Purchasing Card, and University forms for Princeton University Research staff and internal LAR department members. Refer service requests to appropriate LAR personnel. Document orders in Topaz software, print weekly delivery reports, and generate cage cards for LAR staff. Enter cage cards weekly in TOPAZ Elements.
  • Operations / Husbandry And Veterinary Orders: Handle LAR departmental purchasing of equipment, supplies (PPE, break room supplies, feed and bedding, medications), special requests, work boots, and equipment repair. Conduct ongoing inventory of break room supplies, reorder as needed, and manage received supplies.
  • Administrative Support:
    • Serve as a front-line resource for incoming requests from Principal Investigators, faculty, administrators, outside vendors, and LAR team members.
    • Provide general administrative assistance to the Business Manager, Director, Associate Director, Staff Veterinarian, Facility Manager, and other LAR staff, including organizing office space and common areas.
    • Scan, organize, and manage LAR documents for audits, vendor documents, invoices, credit card documents, and other business records.
    • Organize and distribute mail, arrange travel, and prepare travel and expense reports.
    • Assist with receiving items from LAR facility docks.
    • Schedule meetings and training seminars, track attendance, and prepare meeting rooms (e.g., setting up computers, phones, projectors).
    • Prepare agendas, handouts, and electronic materials for meetings and travel.
    • Format and edit standard operating procedures using Word and Adobe Acrobat.
  • Exhibit a willingness to assume additional responsibilities and other duties as assigned.

Performance Standards

  • Display professional courtesy and respect when communicating with Investigators, staff, students, and vendors.
  • Follow up on all tasks from beginning to completion and use Outlook to organize tasks and emails.
  • Provide status updates to the Business Manager and prioritize tasks according to deadlines.
  • Request supervisor approval for unusual requests and new vendor expenses.
  • Be a team player, accept constructive criticism, and maintain positive working relationships.
  • Demonstrate the ability to perform multiple tasks concurrently and work with minimal supervision.
  • Ability to lift 30 lbs, open packages, and move furniture for event setups.
  • Ability to walk to other facilities as required.
  • Strong organizational, analytical, and problem-solving skills with attention to detail.
  • Excellent interpersonal (verbal and written) and customer service skills.
  • Proficiency with technology and MS Office applications: Outlook, Word, Excel, and Adobe Acrobat.
  • Initiative, sound judgment, and discretion with confidential data and prioritization.

Requirements

  • Minimum of 5-7 years of experience in a similar role, preferably within an academic or research setting.
  • High level of proficiency with technology and the Microsoft Office suite (Word, Excel, PowerPoint).
  • Ability to learn new software applications as needed.
  • Strong organizational, analytical, and problem-solving skills with attention to detail.
  • Ability to complete detailed assignments by deadlines and work in a fast-paced environment with minimal supervision.
  • Excellent interpersonal (oral and written) and customer service skills.
  • Initiative, sound judgment, and discretion with confidential data and prioritization.

Preferred Qualifications

  • Experience with EMS systems and knowledge of animal research protocols.
  • Intermediate to advanced proficiency in financial software and Microsoft Office Suite.
  • Experience in an academic or research environment.
  • Familiarity with university policies and compliance requirements.
