About the role

The Talent Partnerships Purchase Order Coordinator manages purchase orders, produces invoices, and ensures timely payments to talent, agencies, and vendors. This role involves coordinating between talent, agents, and vendors to gather tax information, maintaining agreement databases, and collaborating with internal teams such as Accounts Payable, Finance, and Marketing. Daily correspondence with external agencies and Topps representatives is required.

Responsibilities

  • Create new suppliers and maintain purchase orders from inception to completion.
  • Work closely with Accounts Payable to ensure supplier addresses and tax information are up to date in the system.
  • Oversee the new onboarding portal for vendors, providing support for full execution and offering guidance for ongoing improvements.
  • Ensure inventory receipts are transacted accurately and expenses are allocated to the appropriate GL accounts.
  • Act as a liaison to multiple internal departments (Operations, Finance, Marketing, Brand teams) to fulfill contract requirements and payments.
  • Maintain autograph agreement databases, individual talent contracts, and required tax information for 1099 processing per IRS guidelines.
  • Ensure compliance with contractual obligations and execution of all services on agreements.
  • Foster and maintain relationships with talent, agents, Topps reps, and industry contacts; provide status updates and handle special requests.
  • Perform assorted departmental tasks as needed.

Requirements

  • Bachelor’s degree required.
  • Previous experience in sports/entertainment.
  • Experience in a related field (Business, Accounting, Finance, etc.).
  • Thorough understanding of financial close processes and controls.
  • Analytical, organized, and highly detail-oriented.
  • Ability to work in a fast-paced environment, meet tight deadlines, and thrive in changing circumstances.
  • Experience with Oracle and Contract Lifecycle Management systems.
  • Exceptional written and oral communication skills.
  • Proficiency in Microsoft Office applications, particularly Excel.

Pay

Los Angeles Salary Range: $57,500 - $71,300 USD (base pay only, excluding incentive compensation). This range is specific to Los Angeles and may vary by location.
