Full-time, Regular position with a scheduled 40-hour work week during day shifts.

Compensation Range: $21.97 - $29.66 per hour. Individual salaries will be determined based on factors including market data, education, experience, qualifications, expertise, and internal equity considerations.

Responsibilities

  • Oversees and directs Physician Support employees in assigned divisions, including assigning and directing work, and providing guidance to physician support teams.
  • Provides input and support related to recruiting, hiring, training, goal setting, performance management, and promotional decisions.
  • Acts as a subject matter expert for physician support job duties, divisional scheduling guidelines, and clinic management processes.
  • Identifies areas of improvement and models ICARE values (equity, leadership, integrity, openness, respect, and accountability).
  • Coordinates and manages staffing plans, assignments, and daily work to ensure effective communication and support to Physicians.
  • Implements and monitors procedures to enhance service levels and quality, developing guidelines for prioritizing work activities.
  • Serves as a resource for complex questions or issues related to physician support and assists in problem resolution.
  • Acts as primary preceptor for new staff, including training, onboarding, and monitoring competencies.
  • Provides training on all aspects of physician support roles and works with cross-functional teams to develop/revise division-specific documents (e.g., training materials, policies, procedures).
  • Identifies and communicates opportunities for improvement to increase utilization and scheduling efficiency.
  • Performs quality assurance monitoring for activities in the area of responsibility, including scheduling errors, and prepares management reports.
  • Works with Access Center leadership to investigate root causes of scheduling errors and improve workflows.
  • Provides Access Center triage information daily and acts as the primary point person for scheduling triage requests.
  • Collaborates with others in the role across divisions/departments to establish and monitor adherence to best practices and standards.
  • Participates in recruiting, hiring, and promotion decisions, and assists with performance evaluations.
  • Manages staff performance, counsels staff on performance issues, and adjusts schedules/duties as needed.
  • Oversees time approval, including managing staff requests for time off and overtime.
  • Performs duties of physician support as required, particularly for complex requests, ensuring excellent customer service, accuracy, and efficiency.
  • Coordinates urgent and emergent clinic tasks, such as scheduling urgent surgeries, paperwork, and cancellations.
  • Other duties as assigned.

Requirements

  • High School diploma and 2 years of relevant experience required.
  • 1 year of leadership experience preferred.
  • Equivalent combination of education and experience may be considered.
  • Experience with surgical/appointment scheduling software and electronic medical records preferred.

Skills

  • Demonstrated customer service skills required.
  • Knowledge of medical terminology preferred.
