About the Role

Provides receptionist and clerical support to ensure smooth patient flow, comfort, and satisfaction. This role involves managing phone systems, scheduling appointments, data entry, insurance verification, and providing support to staff members.

Responsibilities

  • Receptionist Responsibilities (70%):
    • Greets patients, initiates paperwork, completes registration, verifies insurance, collects co-payments and balances, and establishes payment plans.
    • Manages electronic and manual insurance verification, obtains pre-authorizations, and interacts with physician offices and third parties for necessary documentation.
    • Updates patient charts (electronic or paper), obtains signatures, files paperwork, and notifies clinical staff of patient arrivals.
    • Answers and directs calls using a multi-line phone system, ensuring appropriate coverage.
    • Provides general office support, including faxing, completing disability/FMLA forms, handling attorney requests, and processing industrial claims paperwork (e.g., C-9s, C-84s, Medco 17s).
    • Works industrial claims in the EMR system, attaching dictation, diagnosis allowances, and authorization numbers.
    • Maintains organized patient charts, including scanning and tracking documents in the EMR.
    • Attends staff meetings and in-house education seminars for professional development.
  • Organizational/Office Responsibilities (30%):
    • Sorts, distributes, and mails transcription as assigned.
    • Orders and stocks office supplies.
    • Maintains cleanliness and functionality of office equipment.
    • Provides support to staff members as needed.

As a High Reliability Organization (HRO), this role requires a focus on safety, quality, and efficiency. Responsibilities may evolve over time.

Requirements

  • High School diploma or GED (required).
  • 1–2 years of secretarial experience in healthcare, a medical office, or equivalent training/experience.

Schedule

  • Day shift.
  • 40 scheduled weekly hours.
