About the Role

We are looking for an astute, determined professional to fulfill an Executive Assistant / Office Manager position providing executive support for PGIM Real Estate’s Co-Head and Global Chief Operating Officer. This role offers the opportunity to make a significant impact through collaboration, ownership, and innovation, while staying ahead of emerging trends and practices to maintain our competitive edge.

Responsibilities

  • Provide exceptional support and implement procedures to ensure efficient operations for the Co-Head and Global Chief Operating Officer of PGIM Real Estate.
  • Organize and manage calendars and logistics, coordinating constantly changing schedules and preparing for meetings and conference calls with all related documentation and logistics in place.
  • Coordinate and arrange regional and global executive committee meetings, including agenda preparation, meeting materials, logistics, travel, and related planning.
  • Arrange on- and off-site meetings, including venue selection, contract negotiation, food and beverage planning, and preparation of slides, materials, and agendas.
  • Coordinate logistics related to industry organization committee membership and external board participation.
  • Serve as office manager for PGIM Real Estate’s New York and New Jersey offices—assist in managing office logistics, oversee the receptionist, and coordinate front desk coverage.
  • Arrange and coordinate extensive and complex domestic and international travel schedules and logistics.
  • Leverage technology and mobile platforms (e.g., OneDrive) to organize meeting materials on behalf of the executive.
  • Develop and edit presentations, typically in PowerPoint.
  • Conduct research and compile information for statistical reports using various software, including MS Office.
  • Perform other executive administrative duties as assigned, such as calendaring, travel arrangements, and expense reimbursements.

Requirements

  • 5 or more years of senior-level executive assistant experience in a fast-paced and demanding environment.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
  • High degree of professionalism, strong work ethic, responsibility, and integrity.
  • Experience and/or strong interest in event planning with a client service orientation and organizational skillset.
  • Discretion in handling highly sensitive and confidential information.
  • Strong initiative, good judgment, and the ability to multitask.
  • Excellent partnering skills, interpersonal and communication abilities, and a team-player mindset.
  • Strong writing, editing, and proofreading skills.
  • High level of motivation and attention to detail.
  • Ability to think proactively and anticipate needs.
  • Ability to work independently with minimal supervision, under tight time constraints, and prioritize work effectively.
  • Ability to work well and partner with other professionals and administrative staff.
  • Flexibility to work overtime as needed.
  • Ability to travel on a quarterly basis, including travel to PGIM’s Newark office location (preferred).
  • College degree preferred.

Pay

The salary range for this role is $120,000 – $150,000 USD. Specific compensation may vary within this range based on factors such as geographic location, candidate experience, and skills. The role may also be eligible for additional compensation and/or benefits.
