About the role

The Senior Case Manager supports attorneys in handling and progressing pre-litigation personal injury matters. This role serves as the primary point of contact for clients, maintains accurate case records, facilitates communication among parties, and ensures cases progress efficiently according to firm procedures and attorney direction.

Responsibilities

  • Client Communication
    • Contact clients within 24 hours of case assignment to introduce yourself and explain next steps.
    • Maintain regular communication with clients, providing case-status updates as directed by the supervising attorney.
    • Communicate treatment-related updates and documentation requests per firm procedures.
    • Return client calls and voicemails the same business day.
    • Maintain contact with clients at least every 14 days.
    • Notify clients regarding settlement-related developments and coordinate communications at the attorney’s direction.
  • Insurance and Provider Communications
    • Follow up with insurance carriers after settlement demands are submitted by the attorney.
    • Facilitate communications with insurance adjusters, medical providers, and other third parties under attorney supervision.
    • Confirm and document available insurance coverages, including BI, PIP, and UM coverage.
    • Request and follow up on insurance declaration pages and supporting documentation.
    • Coordinate transmission and receipt of settlement-related documentation as directed by the attorney.
    • Coordinate mediation scheduling and prepare case materials for attorney review.
  • Case Management
    • Maintain complete, accurate, and timely case notes in Litify.
    • Update client files and supporting documentation.
    • Track outstanding records, bills, liens, and other case-related documents.
    • Review provider balances and obtain internal approvals before processing settlements.
    • Assist with demand package preparation and case organization for attorney review.
  • Client Service
    • Deliver exceptional client service through professionalism, responsiveness, and attention to detail.
    • Address client questions and concerns promptly and courteously.
    • Maintain confidentiality of all client information.
    • Ensure adherence to firm procedures and service standards.

Requirements

  • Fluent in English and Spanish.
  • Ability to work onsite Monday through Friday in New York, NY.
  • Expert knowledge of the personal injury pre-litigation process.
  • Experience managing a high-volume personal injury caseload.
  • Experience with bodily injury claims, medical records, insurance documentation, and case management systems.
  • Proficiency in Litify and Microsoft Office Suite.
  • Strong organizational, communication, and client-service skills.
  • Ability to work effectively in a fast-paced, deadline-driven environment.

Work Location

This is a full-time, onsite position located at 535 5th Avenue, Suite 2600, New York, NY 10017. Employees are expected to work in the office five (5) days per week. Remote or hybrid arrangements are not available.
