About the role

The Permit Coordinator is responsible for managing residential permit submittals, tracking, and approvals by partnering with outsourced permit runners, trade partners, private providers, and regulatory agencies to ensure the timely issuance of permits and Certificates of Occupancy. This role plays a critical part in supporting construction timelines and scheduled closings through proactive coordination, issue resolution, and documentation management.

Responsibilities

  • Tracks permit submittals, corrections, pickups, and overall status with outsourced permit runners.
  • Tracks home closings to ensure all required documentation and approvals are received for timely Certificate of Occupancy issuance, preventing delays to scheduled closings.
  • Resolves issues from municipalities, architects, engineers and field staff.
  • Works closely with Sales Administrator on New Home contracts to request documentation needed for permit submittal.
  • Processes and distributes color selections, change orders, and new home start packages to the Construction team; uploads all documentation into BuildPro.
  • Maintains organized office records and filing systems.
  • Generates construction reports and maintains scheduling updates.
  • Communicates regularly with outsourced permit runners, private provider inspectors, construction superintendents and building departments as needed.
  • Supports trade partners on construction-related issues.
  • Creates and maintains tracking logs and reporting tools.
  • Reviews, codes, and processes all permit-related invoices.
  • Affords support to purchasing with contracts and other administrative responsibilities.
  • Supports Construction Superintendents and vendors with permitting-related items.
  • Collaborates with utility companies to establish and manage utility accounts, including FPL, TECO, and water services.
  • Establishes and maintains strong communication across all departments within Minto Communities USA.
  • Demonstrates a high level of professionalism in all interactions and responsibilities.
  • Provides cross-functional support within Product Production departments as needed.
  • Performs additional duties within the scope, spirit, and purpose of the role as assigned by management.

Requirements

  • A minimum of 3-5 years in construction industry.

Qualifications

  • Highschool Diploma or equivalent is required.
  • College degree in relevant studies is an asset (i.e. Architecture, Construction, and/or Project Management).

Pay

  • $22-$29 per hour

Schedule

  • Mon-Fri 8:00 AM- 5:00 PM
