About The Opportunity

As our People Administrative Assistant, you will be the welcoming face of our Chicago headquarters while also playing a vital role behind the scenes in supporting our People (HR) function. The Role

  • Serve as both the first point of contact for our office and a trusted partner to our People team.
  • Maintain accurate employee records, HR systems, and documentation with strong attention to detail.
  • Serve as a helpful and responsive resource for employee questions, ensuring timely and professional communication.
  • Coordinate onboarding and offboarding experiences, supporting logistics, communications, and system setup.
  • Aid in recruiting coordination, including scheduling interviews and communicating with candidates.
  • Support engagement initiatives, training coordination, and internal programs that strengthen culture and retention.
  • Manage sensitive and confidential information with discretion, professionalism, and sound judgment.

People & HR Support

  • Support day-to-day People operations, maintaining accurate employee records, HR systems, and documentation with strong attention to detail.
  • Serve as a helpful and responsive resource for employee questions, ensuring timely and professional communication.
  • Coordinate onboarding and offboarding experiences, supporting logistics, communications, and system setup.
  • Aid in recruiting coordination, including scheduling interviews and communicating with candidates.
  • Support engagement initiatives, training coordination, and internal programs that strengthen culture and retention.
  • Manage sensitive and confidential information with discretion, professionalism, and sound judgment.

Front Desk & Office Experience

  • Greet clients, employees, and visitors, creating a polished and welcoming first impression.
  • Manage calls, inquiries, and communications with professionalism and efficiency.
  • Ensure the office environment is consistently organized, clean, and client-ready, including reception areas, conference rooms, and kitchens.
  • Support meeting and event coordination, ensuring smooth execution and attention to detail.
  • Administer office operations such as supplies, deliveries, vendor coordination, and building relationships.
  • Proactively support teammates with requests and ensure their day-to-day needs are met.

Qualifications

  • 2+ years of experience in administrative, HR, receptionist, or office support roles.
  • Experience working in a professional corporate environment where high standards of conduct are expected.
  • Proficient in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Demonstrated ability to learn new systems and tools quickly.
  • Bachelor’s degree or equivalent combination of education and experience is preferred.

Work Environment

You will be based on-site in our downtown Chicago office, Monday through Friday (8:30 AM – 5:00 PM).

Compensation

This is a non-exempt hourly role, with a compensation range of $30 – $32 per hour, based on experience. The base salary will be commensurate with an individual's work experience and educational background. US Pay Range $30 - $32 USD
